Job Summary: The Office Assistant will play a key role in the efficient management of office tasks and records. This position involves handling a variety of administrative tasks including mail preparation, document sorting, scanning, and general office organization. The ideal candidate will have strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.
Key Responsibilities:
- Mail Handling:
- Assist with prepping and sorting inbound and outbound mail to ensure timely and accurate distribution.
- Process any return-to-sender mail promptly and efficiently.
- Document Management:
- Sort and organize affidavits and certifications.
- Scan and upload facility responses into the company’s records management system.
- Communication:
- Answer phone calls professionally and make any necessary notes or follow-up actions.
- Provide excellent customer service and address any inquiries or concerns as needed.
- Office Organization:
- Maintain a clean and organized workspace.
- Assist with general office cleaning and organizing tasks to ensure a tidy and efficient work environment.
- Additional Tasks:
- Perform other administrative tasks as assigned by the supervisor or office manager.
- Assist with special projects and support team members as needed.
Qualifications:
- High school diploma or equivalent; additional education or certifications in office administration is a plus.
- Previous experience in an office environment, preferably in a legal or records retrieval setting.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and basic office equipment (printers, scanners, telephones).
- Strong organizational skills with attention to detail and accuracy.
- Excellent communication skills, both written and verbal.
- Ability to handle sensitive and confidential information with discretion.
- Capable of managing multiple tasks and priorities in a fast-paced environment.
- Reliable, proactive, and able to work both independently and as part of a team.
Physical Requirements:
- Ability to sit or stand for extended periods.
- Capable of lifting and carrying up to 50lbs as needed.
- Manual dexterity for operating office equipment.
Job Type: Full-time
Pay: $16.00 - $17.00 per hour
