JOB DESCRIPTION: Accounts Payable
REPORTS TO: Director of Finance
DEFINITION OF POSITION: An Accounts Payable Specialist is responsible for the financial processing of transactions for the organization. Their duties include assisting with reconciling invoices, inventory maintenance, and billing.
The ideal candidate is highly organized, self-motivated, efficient and detail oriented to successfully process and pay invoices for multiple entities.
RESPONSIBILITIES:
1. Manages accounts payable using QuickBooks software and other programs
2. Handles accounts payable for multiple entities and vendors
3. Establishes and maintains relationships with new and existing vendors
4. Ensures bills are paid in a timely and accurate manner while adhering to departmental procedures
5. Processes invoices for physician payments
6. Compares purchase orders, prices, and terms of payment along with other charges
7. Receives and tracks all packing slips with verification of products being received and matching with them with corresponding invoices
8. Notifies Director of Finance of price changes that have occurred on invoices
9. File all corresponding invoices and checks in appropriate folders
10. Assists in keeping staff break rooms neat
11. Demonstrates respect of IGA policies for security, privacy and confidentiality while using IGA equipment
12. Immediately reports any network, hardware or software malfunction to the IT department
13. Communicates pertinent information to others
14. Follows personnel policies contained within the IGA personnel manual
15. Other duties as assigned
QUALIFICATIONS:
- Graduate from high school
- Training and/or experience in Microsoft Office, Teams preferred
- QuickBooks experience preferred
- Minimum 1 year experience in accounts payable preferred
PREFERENCE
- Prior experience in medical office setting helpful.
