JOB DESCRIPTION: Infusion Services Coordinator
REPORTS TO: Site Administrator
DEFINITION OF POSITION: The infusion services coordinator is responsible for overseeing the non-clinical aspects of the infusion center including policy and procedure, organizational flow of the infusion center, ordering and restocking of supplies and medications, infusion patient scheduling, prior authorization, and submission of charges for the infusion center. The coordinator should have an in-depth understanding of all roles of the team to help streamline processes between teams including scheduling, nursing, clinic, medical records and billing.
Collaborates with entire infusion team; front/back office, billing staff, nursing, clinic staff, physicians and medical records to ensure continuity of care and aligning with organizational vision and providing direction that reflects patient needs across the continuum of care.

Fosters patient and employee satisfaction by building and maintaining a caring and supportive environment.
Effectively communicates with patients, families, employees, providers, physicians, and other department leaders.
RESPONSIBILITIES:
1. Schedule and confirm appointments, as necessary
2. In partnership with clinical team, ensure workspaces are clean and neat for incoming patients
3. Submit and obtain prior authorizations for scheduled patients
4. Coordinate with the Revenue Cycle Team in the processing of claims submission and the writing of appeals for denied infusion claims as needed with nursing staff and associated providers
5. Complete patient copay assistance applications through drug companies for financial reimbursement
6. Help maintain an inventory of stock for drug assistance medications or specialty pharmacy
7. Copies forms and scans medical records as necessary
8. Maintains Medical Records per Medical Record Policy
9. Communicate with providers nursing team to provide updates on infusion PA, start times for infusion
10. Help maintain a stock of nourishments, infusion related supplies and office supplies within budget
11. Participates in patient safety and quality initiatives related to infusion
12. Utilizes Microsoft Outlook email for non-patient correspondence and EMR messaging for patient care correspondence/documentation.
13. Demonstrates respect of IGA policies for security, privacy and confidentiality while using IGA equipment. Follows personnel policies contained within the IGA personnel manual
14. Immediately reports any hardware or software malfunction to the IT Director and/or Site Administrator
15. Communicates pertinent information to others
16. Promote IGA infusion services amongst patients and staff
17. Other duties as assigned
QUALIFICATIONS:
• Demonstrate exceptional ability to organize, understand policy and procedures, safe practices as well as best practices

• Demonstrate effective communication with physicians, nursing team and co-workers.
• Able to maintain and comply with patient confidentiality and integrity policy on all matters.
• Understanding of CPT codes, benefit investigation, prior authorization and insurance plan requirements
