POSITION SUMMARY:
The Trade Execution Specialist plays a vital role in optimizing domestic and export customer logistics. This exciting position involves managing the entire logistics process, from initial country registration to successfully negotiating and contracting competitive freight rates with various carriers, culminating in prompt final delivery. The specialist fosters proactive communication, documentation, and coordination of customer orders in collaboration with Sales, Quality, Accounting, and Warehousing teams. Additionally, this role includes providing insightful logistics updates to senior management regularly, ensuring our operations run smoothly and efficiently.
ESSENTIAL FUNCTIONS, DUTIES AND PERFORMANCE RESPONSIBILITIES:

- Collaborating with importers in the process to register our products to be imported into the importer’s country
- Collaborating harmoniously with esteemed partners, such as USDA and USDEC, to ensure every shipment adheres to export regulations while readily adapting to evolving foreign laws.
- The ideal candidate will have or gain a comprehensive understanding of the unique requirements for each country, which includes:
- Shipping documentation
- Packaging and labeling standards
- Agreed-upon incoterms with our valued customers.
- The ability to skillfully negotiate optimal terms with freight forwarders, trucking companies, and Ocean liners, emphasizing both competitive spot rates and long-term contracts.
- Effectively coordinating transportation with trucking and shipping partners
- Overseeing smaller shipments with reliable services like FedEx and UPS.
- Preparing all essential domestic and export documents, which includes:
- Scheduling loads
- Liaising with the warehouse regarding loading and shipping timelines
- Communicating directly with customers for booking confirmations.
- Diligently monitoring loading activities and keeping lines of communication open with internal and external warehouses, and our customers' freight services.
- Delivering complete shipping documentation and partnering with the Finance department to establish clear payment terms, prepare commercial invoices, and address queries from both customers and carriers.
- Keeping our Executive Leadership and Senior Management Teams well-informed through Bi-weekly updates and weekly shipping reports.
- Embracing additional tasks and projects as needed, reinforcing our commitment to collective success!
POSITION SPECIFICATIONS/QUALIFICATIONS:
Required Education, Experience and Knowledge:
- High school diploma/GED or equivalent work-related experience
- 2 – 5 years of experience in Logistics or Customer Service areas
Preferred Education, Experience and Knowledge:
- 3-5 years of experience working with external customers
- 1-3 years of experience with Incoterms and LCs.
- Dairy industry experience preferred
- Export certified preferred
- International customer service business experience
Knowledge and Skills:
- Independently solve complex issues with minimal supervision while escalating more complex issues to appropriate staff
- Demonstrate the ability to write and speak clearly, excellent verbal and written communication skills.
