Job Description
To perform complex secretarial, office administration, and public relations assignments; perform related work.
This Administrative Assistant 2/Customer Service Coordinator will prioritize service at the front desk to manage incoming and outgoing communications, projects, tasks, and needs which arise for the Graduate School. The successful candidate will be example of service, responsible for training student workers. The incumbent will utilize public relations and organizational skills to coordinate and schedule meetings between Graduate Program Managers, external staff, and faculty and facilitate internal communication. The incumbent will perform complex administrative duties related to reporting needs for admission, recruitment, data dashboards, and retention. The incumbent will manage budgeting for student and recruitment awards. Additionally, the incumbent will assist with critical work related to the admission process, including transcript processing, student records, and communication to applicants. The Administrative Assistant 2 will also assist with event coordination under the direction of the Management Assistant and Graduate Program Managers. The successful candidate must work autonomously as well as with staff while gaining extensive knowledge of academic programs, recruiting, and retention strategies. The successful candidate must display reliability, excellent communication skills, attention to detail, high professionalism, and exceptional ability to coordinate and complete multiple tasks successfully.
Key Responsibilities
Leads the front service desk and handles all incoming/outgoing communication professionally and courteously (in person, phone, and digitally). [65%]- Processes application documents, transcript retrieval, uploads documents and other needs based on application intake loads. [20%]
- Contribute to the scheduling and processing needs of the Graduate Program Managers (GPMs) and event planning teams. [15%]
Minimum Qualifications
Good knowledge of:
- Office support functions including word processing, filing, composing a variety of business documents and reception.
- Researching, compiling, and summarizing data for reports.
Experience:
- Interpreting, applying and explaining complex information such as regulations, policies or services.
- Independently solving problems/performing liaison activities in a work setting.
- Coordinating activities requiring complex arrangements.

ISU minimum for this classification is $17.85/hour.
