Job Description
To perform complex secretarial, office administration, and public relations assignments; perform related work.
The successful candidate will perform complex secretarial duties, office administration, create and maintain collaborative relationships with veteran connected community partners, public relations, marketing, communication with internal and external partners; perform related work.
Key Responsibilities
Perform high-level secretarial duties, frontline management and support for a federal grant program, major role in coordinating administrative activities, frequent contact with leadership team members in the unit, frequent coordination and communication with external stakeholders.- Responsible for all employee documentation including PR’s/EPAF’s and maintaining federal requirements for Grants & Contracts Time & Effort reports.
- Take meeting minutes/review all meeting minutes and organize schedules including facilitation of resources for outreach events for all staff working on the grant; enter and assist in maintaining student information in grant related database; assist leadership team members in completing reports.
- Create and maintain grant related outreach materials and the website in compliance with university marketing guidelines; coordinate with external partners to feature veteran related community events and resources and track referral sources of incoming participants from community partners to assist with efficient recruitment.
- Coordinate program and staff travel including sophisticated coordination between multiple outreach locations and across different grant allocations, utilizing state and federal guidelines.
- Maintain and allocate P-card and Travel-card purchases, provide financial reconciliation support for team members when needed.
- Work independently and use discretion in producing and applying policies and procedures; responsible for the research, organization, and compilation of materials for administrators use in problem resolution.
Minimum Qualifications
Good knowledge of:
- Office support functions including word processing, filing, composing a variety of business documents and reception.
- Researching, compiling, and summarizing data for reports.
Experience:
- Interpreting, applying and explaining complex information such as regulations, policies or services.
- Independently solving problems/performing liaison activities in a work setting.
- Coordinating activities requiring complex arrangements.
Specialty Items
Some positions at ISU may require one or more of the following qualifications.
Good knowledge of:
- Legal terminology.

- Financial record keeping.

ISU minimum for this classification is $17.85/hour.
