Job Description
To plan and coordinate equipment and facility set-up for meetings, conferences, and special events; to supervise the maintenance and security of a state building; perform related work.
Examples of Duties
- Determines equipment and supply needs for scheduled events including seating and table arrangements, audio-visual operations, including sound, lighting and rigging systems.
- Inspects rooms prior to scheduled event to ensure proper seating and table configurations, audio-visual equipment set-up, cleanliness, temperature and lighting.
- Supervises staff to ensure smooth operation of events and resolves questions and concerns.
- Establishes rapport and maintains communication with facility users to ensure all needs are met.
- Identifies or anticipates problems such as room size, catering needs, security requirements, and takes corrective action.
- Collects user feedback and evaluates program success and patron satisfaction.
- Recommends methods of improvement for services in all areas of the facility.
- Monitors and controls the facility environment including HVAC, lighting and cleanliness.
- Maintains regular observation of facility and equipment to ensure security.
- Monitors facility use by individuals and groups to ensure conformance with established policies and procedures.
- Provides leadership and technical assistance to staff and patrons for emergency procedures including fire alarms, electrical failures, elevator emergencies, injuries, floods and storms.
- Observes, responds to and reports unusual occurrences such as theft, vandalism, illness, and drug and alcohol related problems.
- Serves as resource for emergency personnel assisting in evacuating facility and maintaining order.
- Recommends security and safety solutions.
- Sets standards for and monitors employee conduct and building operation.
- Develops and prepares facility use and staffing reports.
- Hires and trains staff and evaluates performance.
- Recommends changes in policies and procedures and provides interpretation to staff and facility users.
- Resolves conflicts between staff, patrons and/or other personnel.
- Identifies needs and plans and supervises housekeeping, audio-visual, and program set-up.
- Supervises and assists with set-up changes.
- Plans, develops and implements training programs in facility management and event production.
- Demonstrates use of equipment such as vacuum, buffer, scrubber, shampooer, over-head projector, VCR, sound system, public address system, microphone, tape recorder, scaffolding, and bucket truck.
Minimum Qualifications
Some knowledge of:
- Supervisory practices.
- Adding, subtracting, multiplying, and dividing whole numbers.
Experience:
- Resolving customer service problems.
- Developing written reports.
- Operating and maintaining commercial lighting, audio-visual, and sound equipment.
- Using tools, equipment, materials and common practices used in facility preparation including custodial work.
Specialty Requirement
- Some positions at ISU may require a valid driver's license or the ability to get one.
Supplemental Information
- This position works special events and is subject to 24-hour call.
- This work involves lifting and carrying approximately 35 pounds.
- Standing and walking approximately 80% of work time.
