JOB SUMMARY
- Office administration and communications management to ensure effective organization and program function while excelling as a member of a dynamic team
- Responsibilities toggle between ongoing routine tasks (year-long) and specific additional tasks for fundraising events (3-5 times a year)
- Coordinating between Program Director, Grants Administrator, Administrative Assistant, volunteers, and Review Committee to ensure smooth operations of the organization.
- Requested availability (during regular business hours):
- 20 -25 hours per week, flexible
- Availability to work in person 1-2 day per week and in your own workspace the rest of the time (this is a hybrid position)
- Some evenings and weekends (for fundraisers or presentations)
- Salary: $20- $25/ hour - new hires typically start at beginning of salary range

PRIMARY JOB FUNCTIONS
- Management and organization of IDEA WILD’s emails
- Processing/management of incoming applications, and e-communication with global applicants
- Processing/tracking of incoming donations from multiple platforms and event revenue, and e- or written communication with U.S. donors
- Database entry and management for applications/projects, donors, donations, events, and equipment-for-donation inventory
- Event preparation support, audience/sponsor registration tracking, and serving as staff at events as needed (some are out of town)
- Coordination of mailings for annual membership, holiday, and event promotion
- Preparation and distribution of electronic annual report
- Generating new website content and keeping site updated (technical help available)
- Creation of e-newsletters (~ 6x/year)
- Create content for and oversee volunteers who manage social media platforms (Facebook & Instagram)
- General office management, including updating written Standard Operating Procedures (SOP) and letter templates; managing staff meeting agendas, calendar, and task lists; maintaining office supplies and oversight of paper, electronic and stored record, including data backups
- Onboarding new employees and running monthly payroll
- Assisting Director, Grant Administrator/Purchasing Manager and volunteers/interns as needed
PREFERRED KNOWLEDGE/SKILLS/ABILITIES
- The ideal candidate would possess the following:
- Excellent organizational skills and written communication skills
- High attention to detail and time-efficiency and excels as a member of a dynamic team
- Cheerfully self-motivated, able to track and prioritize both one’s own work and meet organizational needs
- Applicable experience with IT, computers, platforms, programs, and other applications
- Proficiency in Microsoft Word and Excel
- Experience with Gmail and Google applications
- Experience with Mailchimp
- Experience with databases (Airtable preferred)
- Ability with basic bookkeeping procedures and mathematical problem-solving for donation tracking
- Relevant nonprofit or conservation related experience
