Overview
We are seeking an experienced, detail-oriented Administration Manager to provide administrative and organizational support to the company. The Administration Manager is responsible for managing day-to-day operational administration, providing support to our managers and employees and managing our company’s general administrative activities to include planning and coordinating administrative procedures and systems and devise ways to streamline processes towards operational efficiency. This role requires the ability to multi-task, prioritize, strong problem-solving skills and work well independently and in a team environment. The ideal candidate must be highly organized, have excellent communication and interpersonal skills, and be proficient in the use of computer technology and software programs. This position requires a solid understanding of logistics and supply chain management, and the ability to collaborate with various departments to meet customer demands.
Primary Job Duties:
- Oversight of the Administrative/Order Support Team (2-4 people).
- Management oversight of the end-to-end order processing cycle, from order entry to delivery, invoicing and post-sales support.
- Assess administrative staff performance and provide guidance to ensure maximum efficiency of the supply chain and ensuring orders are fulfilled efficiently and effectively.
- Analyze order data and metrics to identify trends and opportunities for improvement.
- Manage administrative schedules and deadlines.
- Oversee facilities services and maintenance activities.
- Implement and maintain administrative processes, procedures and office administrative systems.
- Assist in the recruitment and onboarding process for new hires.
- Manage employee benefits.
- Coordination of administrative training.
- Provide back-up support for various administrative/order support positions.
- Internal supplies management.
- Order oversight and report management.
- Sales and order reconciliation, commission preparation and sales tax reporting.
- Timesheet collection and management.
Minimum Qualifications:
- Proven experience in order management or a related field within supply chain logistics.
- Strong understanding of supply chain processes, including procurement, inventory management, and logistics.
- Knowledge of Lean manufacturing principles is highly desirable.
- Excellent organizational skills with the ability to manage multiple tasks simultaneously.
- Strong analytical skills to interpret data and make informed decisions.
- Effective communication skills for collaboration across various departments.
- Ability to work in a fast-paced environment while maintaining attention to detail.
- Proficiency in Microsoft Office Suite.
