IEM is looking for a Full Time- Project Management Support Specialist to join our team.
Primary Location:
- Candidate must live a commutable distance to Guaynabo or Client Site, Puerto Rico.
- Position will be a fully in office role, we cannot accommodate remote work from home.
- Currently None.
- Support the Project Manager and Deputy Project Manager with overall operation and direction of the program or project.
- Assists with strategies for achieving project goals and objectives.
- Aids Project Manager and Deputy Project Manager with Project Work Plan including budget and schedule.
- Supports the development of research and materials auxiliary to written and oral reports to contract management and client representatives.
- Support creation and management of project plans for specific projects under the guidance of the Project Manager and Deputy Project Manager.
- Provide assistance to the Project Manager and Deputy Project Manager to track and monitor the allocation of labor, equipment, materials, and vehicles for efficient project execution.
- Support the Project Manager and Deputy Project Manager with the management of reporting and requirements for government programs, such as FEMA, throughout the various stages of the Public Assistance (PA) process, including site inspections (SI), project formulation, (PF), and detailed damage descriptions (DDDs).
- Support coordination with other IEM or Client vendors and contractors involved in restoration efforts as directed by the Project Manager and Deputy Project Manager.
- Provide assistance with tracking and escalating priorities, issues, risks, actions, dependencies, and decisions, as directed by the Project Manager and Deputy Project Manager.
- Support the Project Manager and Deputy Project Manager with the development and execution of a plan for the transition of portfolio and program management that aligns with the goal of being managed by LUMA resources.
- Provide assistance with identifying and recommending process improvements to enhance operational transparency and reporting related to FEMA-funded projects to the Project Manager and Deputy Project Manager.
- Support the Project Manager and Deputy Project Manager with identifying and recommending improvements to processes and systems that are relevant to restoration efforts.
- FEMA Public Assistance or Federal Grants Management experience.
- Two (2) years relevant experience project management experience.
- Excellent written and oral communication skills, strong analytical skills, and effective interpersonal skills: good communication skills, both written and verbal, are important for assisting in project-related communication. Being able to analyze project data, contribute to reports, and interact effectively with team members and stakeholders’ aids in supporting project objectives.
- Proficiency with Microsoft Word, Excel, Outlook, and Internet: Proficiency in commonly used software tools such as Microsoft Word, Excel, Outlook, and Internet applications is valuable in a supporting role. These tools are often used for assisting with project documentation, data management, and communication.
- Having experience in assisting project managers and deputy project managers in overseeing and tracking project progress is advantageous.
- Ability to read, write, and speak English and Spanish.
- Experience in Emergency Management and disaster recovery is desired .
- Bachelor’s degree in relevant field or relevant professional certification or accreditation.
- Professional Registration or Certification including Professional Engineer (PE), Registered Architect, or Project Management.
