What are the responsibilities and job description for the Reception Supervisor for Respite and Reception Center position at IEM?

Position Summary:

IEM is looking for Full Time - Reception Supervisors to support our Washington DC Migrant Reception Center/Respite Facility and Temporary Accommodation operations.


Primary Location:

  • Candidates must originate from the Washington DC Area
  • Job sites are located within Washington DC and are subject to change via addition or subtraction based on the clients needs.
  • Continued employment requires you to be able to work on site in the event of a location change.

Essential Functions:

  • Manages the reception and intake of migrants arriving to the District and is responsible for overseeing approval of intakes at the shelter according to eligibility criteria.
  • Position may perform intakes including processing guest items according to District allowable items list, providing orientation to new guests, completing intake packets, obtaining releases of information, and entering information into the Department of Human Services-designated system (e.g., QuickBase).
  • Meet with Office of Migrant Services staff on weekly basis and provide written progress reports based on metrics; Join ad hoc meetings to support leadership decision making.
  • Ensure all supporting client data is captured as directed by the District to support all cost recovery efforts and District reporting.
  • Confirm that all unusual incidents are reported to Office of Migrant Services staff and Operations as specified in this agreement or as required by the District.
  • Develop tracking systems to ensure accurate reporting with input from Office of Migrant Services Data Team and approval from Office of Migrant Services staff.
  • Identify training needs and assist with training for staff.
  • Collaborate with the Department of Human Services Team to implement strategies including the development of inter- and intra-agency relationships that support facilitate clients onward travel or selection of long-term housing options.
  • Ensure that the Provider is following all District policies and procedures related to Office of Migrant Services programming as well as fulfilling contractual obligations in a timely manner.
  • Coordinate and conduct intake meetings/trainings with new staff to explain the available services, operational tempo, site partners, and performance expectations.
  • Reviews the Department of Human Services identified database for data quality and completeness through the lens of quality of information captured and accuracy of data reporting.
  • Conduct monitoring of program performance on a regular basis.
  • Review intake information through the lens of quality of information captured and accuracy of data reporting.
  • Review and approve information provided to clients for accuracy and completion.
  • Review all invoices and payments made as part of the program including financial assistance, reimbursements, and vendor payments (e.g., subcontractors, utilities, landlords).
  • Analyzes and ensures intake data is updated twice daily and submitted as required to Office of Migrant Services.
  • Ensure that databases are updated and required supporting documentation is maintained for grant and financial reporting.
  • Monitor and routinely review Agency financial reporting and subrecipient financial reporting.

Minimum Qualifications:

  • Bilingual English and Spanish- written and verbal
  • Bachelor's degree in social work or other health and human services field
  • Two (2) years of direct management experience in temporary housing facility operations and reception services
  • Three (3) years of direct service experience working with refugees, migrants or other vulnerable populations.
  • Understanding that this role is not a permanent position and will last the extent of the current project or on other similar/like projects if they arise.
  • This position will require work to be conducted onsite and may require work on weekends or in excess of 40 hours per week.

Preferred Qualifications:

  • Professional Registration or Certification including Project Management Professional.
  • Four (4) years of humanitarian or migrant-support related experience.
