RECRUITING / STAFFING / ONBOARDING / OFFBOARDING
Coordinate recruiting, staffing & onboarding, as assigned by the HR Director. Maintain all necessary staffing documents and practices (application, interviewing forms, background checks, etc.).
- Process, track, scan, and maintain electronic copies of resumes and application materials from candidates for positions with IEP MSO MANAGEMENT, LLC.
- Conduct initial screen of resumes against job openings. Conduct phone screens and schedule interviews.
- Complete and file background screenings.
- Assist the HR Director and other recruitment stakeholders in researching and utilizing effective avenues for recruiting and staffing a diverse workforce including maintaining relationships with colleges, graduate medical programs, associations, and other organizations, using agreed-upon communication channels and other sources.
- Schedule and coordinate Day 1 Orientation sessions for all Urgent Care new hires; and monthly Corporate Orientation events for all hires. Ensure all new employees attend orientation and that all orientation tasks are completed by every employee.
- Assist the onboarding process for new employees – full-time, part-time, and contingent employees; as well as those who are transitioning roles within the organization. Track 30/60/90 new hire and annual evaluation plans. Ensure all paperwork is completed and filed in a timely manner. Enroll new hires in Google Workspace, ShiftAdmin, and other applications/programs as directed by leadership.
- Input employees into HR information systems (i.e. Paylocity and Google Workspace), as assigned by the HR Director.
- Assist the HR Director during the termination process.
- Other duties as assigned
TRAINING
- Initiate and track training and certifications/credentials of employees. Ensure credentials are kept up to date and coordinators and staff are made aware of required recertification.
- Ensure the proper paperwork, processing, and filing of documents for credentialing
PERFORMANCE MANAGEMENT
- Assist the HR Director with performance management initiatives, including performance evaluations, performance improvement plans (PIPs), and 30/60/90 evaluations.
- Track receipt of performance management documentation from supervisors for their employees. Send prompts/reminders for completion as needed.
REWARDS/COMPENSATION & BENEFITS
- Monitor and update salary charts for full-time, part-time, and contingent positions as needed. Recommend changes to charts and annual cost of living adjustments.
- Suggest ways to engage employees, reward exceptional employee performance and show appreciation to employees.
- Assist the HR Director with annual Open Enrollment and new hire enrollment periods.
- Assist the HR Director with FMLA, ADA, and related tasks.
EMPLOYEE ENGAGEMENT/RELATIONS, RETENTION & COMMUNICATION
- Answer the HR line or the main office number during company office hours. Check your company email daily and respond to inquiries/requests within 48 hours.
- Check both the HR Ticket spreadsheet and the Suggestion Box daily. Respond to routine HR inquiries, or forward them to the appropriate party if they are not HR-related. Forward all Suggestion Box submissions to the HR Director. Keep the spreadsheets updated.
•Assist the HR Director and other stakeholders with company-initiated engagement surveys.
•Act as a resource to employees and new hires, providing a space for conversations, questions, etc.
COMPLIANCE & RECORDKEEPING
- Assist with HR recordkeeping and compliance (i.e., I9’s, applications, background checks, medical, etc.). Ensure proper record retention guidelines are being followed.
- Run reports for employee timesheets, track the call-in form (for Urgent Care)
- Handle all requests from the Unemployment Agency
GENERAL
- Adhere to the Company guidelines, policies and procedures.
- Maintain strict confidentiality of documents, employee information, and other information received.
- Other duties as assigned.
Requirements
Education/Experience/Licenses/Certificates:
- Bachelor’s degree in Human Resources or related field preferred.
- 2 years of full-time HR experience required.
- Knowledge of federal and Michigan State labor and employment regulations.
- Current PHR or SPHR/SHRM-CP or SHRM-SCP certification strongly preferred.
- Must have a valid Driver’s License.
Knowledge, Skills and Abilities:
- Thorough knowledge & experience with all HR functions
- Strong organizational skills and ability to prioritize and multitask.
- Knowledge of ambulatory services/urgent care operations preferred but not required.
- Paylocity experience is preferred, but not required. Must be willing to learn and become proficient in the Paylocity system.
- Comfortable speaking in front of small and large groups.
- Proficient in Google Workspace applications and Microsoft Office (Word, Excel, Outlook and Powerpoint). Ability to learn new software as needed.
- Excellent interpersonal skills and flexibility to interface well with staff, employees and vendors both one on one and in group settings.
- Ability to manage different personalities, generations and build meaningful relationships with customers and staff. Strong focus on teamwork within the department and with other stakeholders.
- Ability to address issues and de-escalate situations.
- Ability to problem solve, think independently, act proactively and exercise good judgment. This position will operate under the guidance of the HR Director, but will be encouraged to bring creative solutions and take on projects that require minimal supervision.
Salary : $48,000 - $53,000
