General Job Description
As a Payroll Tax Specialist, you’ll provide subject matter expertise and guidance across various areas of payroll tax. Your responsibilities include understanding labor and employment tax regulations, federal, state, and local tax legislations, reciprocity rules, multi-state taxation, garnishment compliance, tax treatment for different types of earnings and deductions, and process adjustments for W-2s and W-2c’s. A Payroll Tax Specialist manages employer and employee tax contributions and reconciliations in an organization. The role reports to Director of Payroll and is critical to ensuring the organization is compliant with tax legislation.

A Payroll Tax Specialist manages employer and employee tax contributions and reconciliations in an organization. The role reports to Director of Payroll and is critical to ensuring the organization is compliant with tax legislation.
Job Duties And Responsibilities
- Properly configure payroll taxes for each division in Spectrum/UKG software.
- Set up electronic services for depositing and filing payroll taxes online and through Spectrum
- Set up and gain access to clients’ tax accounts on state agency websites.
- File monthly, quarterly, and annual payroll tax forms.
- Researching and resolving payroll tax notices in a timely manner.
- Responsible for accurate and timely withholding, unemployment and local payroll tax registrations with agencies.
- Prepare data exchanges with Tax Agencies.
- Manage several tax projects simultaneously.
- Coordinate with our software support staff as necessary.
- Coordinate with the Payroll and Implementation Team regarding payroll tax issues, including account registration, tax deposits, and filing of payroll tax forms as needed.
- Keep up-to-date on latest developments as they affect tax regulations and policies.
- Serve as the subject matter expert to interpret federal and state regulatory requirements, resolving complex tax, withholding, garnishment, leave/disability, and wage/hour issues for payroll processing.
- Some travel required (less than 10%)

- Computer efficient in Microsoft Office products (Outlook, Word, Excel). Desire to learn new systems and processes.
- Regular attendance is mandatory and willing to work additional hours as needed to meet our filing deadlines.
- Must promote the Company culture and mission to all employees, vendors, clients and business partners
- Bachelor’s degree in business or other related field, preferred but not required.
- Minimum 3 years’ experience in payroll tax
- Experience with large employer/multi-state payroll tax knowledge, tax filings, forms and process strongly preferred
- 2 years of experience
- Typing or applying pressure to an object with fingers and palm.
- Prolonged periods sitting at a desk and working on a computer.
