Job Summary :
The Shipping and Receiving Representative plays a critical role in managing the flow of materials and products in and out of Southern Rewinding. This individual is responsible for inspecting, verifying, and properly recording incoming shipments, ensuring materials are handled with care and delivered in accordance with company specifications. The role includes unpacking and confirming received goods, identifying any discrepancies, and ensuring accurate documentation for all materials received. In addition, the representative handles outbound shipments, ensuring packages are properly prepared, documented, and sent with the correct shipping details. The ideal candidate is organized, detail-oriented, and skilled at managing inventory, collaborating with internal teams, and maintaining accurate records for both shipping and receiving operations.
Receiving Responsibilities :
- Confirm received materials are intended for Southern Rewinding.
- Inspect the external packaging of boxes or equipment. If damage is visible :
- Open the box or check the equipment for additional damage before signing for delivery.
- If any damage is observed, consult with a shop manager to determine whether to accept or refuse the delivery.
- If the damaged material is accepted, document it on the delivery ticket, and have the delivery driver acknowledge the noted damage. This ensures a claim can be filed if needed. The driver may contact their office to initiate a claim during the delivery.
- Unbox received materials and compare the description, item numbers, and quantities with the packing list. Report discrepancies to the purchasing agent immediately.
- Ensure parts received match the purchase order details (description, quantity, size, .
- Clearly mark all received materials with our work order, sales order, or purchase order numbers.
- Identify the project number on all parts.
- Forward packing slips for materials ordered through the corporate office (such as shop forms or office supplies) to the corporate office promptly.
- Prioritize processing parts ordered overnight and notify the Production Manager when these parts arrive.
- Process other materials in a timely manner.
- Report any issues to the Purchaser for resolution.
- Keep the parts ticket file in the receiving area and work with the Purchaser to ensure accurate tracking of orders.
- When parts are received, log them into Sage and match them with part tickets. Identify which jobs have all the necessary parts and stage them as per the Production Manager’s instructions.
- Attach all receivers, quotes, and packing slips to the appropriate purchasing ticket.
- Ensure that any ordered parts or supplies have the corresponding parts requisition form and provide it to the Production Manager upon completion.
- After job completion, inform the Purchaser (via email or written communication) about the jobs that have been finalized.
- Ensure that all storage cabinets are kept locked at all times.

Shipping and Receiving Representative Qualifications :
Education & Experience :
High school diploma or equivalent required.Previous experience in shipping and receiving, logistics, or a warehouse environment is preferred.Experience with inventory management systems, such as Sage, or similar software is a plus.
Skills & Abilities :
Strong attention to detail, with the ability to accurately verify and record shipments.Proficient in basic math for calculating shipping weights, measurements, and quantities.Ability to safely handle materials and operate basic warehouse equipment (., pallet jacks, forklifts).Strong organizational skills and the ability to manage multiple tasks in a fast-paced environment.Excellent communication skills, both written and verbal, to work effectively with team members, vendors, and managers.Ability to work independently and as part of a team, ensuring smooth operations in shipping and receiving.
Technical Proficiency :
Familiarity with Microsoft Office Suite (Word, Excel, for data entry and reporting.Experience with shipping software and knowledge of shipping procedures for domestic and international shipments.Knowledge of safety standards and procedures for handling hazardous materials, including familiarity with MSDS documentation.
Physical Requirements :
Ability to lift and move items weighing up to 50 lbs.Comfortable standing, walking, bending, and lifting for extended periods.Ability to work in a warehouse environment with varying temperatures.
Additional Qualifications :
Strong problem-solving skills for identifying and addressing issues related to shipments or materials.Ability to prioritize and process time-sensitive shipments, especially overnight orders.Valid driver’s license and clean driving record may be required for occasional delivery or pickup tasks.Forklift certification may be required or the ability to obtain certification.
