The Permits Coordinator is responsible for managing all aspects of permitting and compliance within the HVAC division of new home construction projects. This role requires close attention to detail, strong organizational skills, and the ability to work effectively with various teams, including contractors, municipal agencies, and project managers. The Permits Coordinator ensures that all necessary permits are obtained, processed, and compliant with local, state, and federal regulations, helping to ensure that HVAC systems are installed safely and in compliance with building codes.

 

Key Responsibilities:

  1. Permit Application and Coordination:

    • Research and identify necessary permits for HVAC installations on new construction projects.

    • Submit permit applications to local municipalities and government agencies in a timely manner.

    • Track the status of submitted permits and follow up with relevant agencies to ensure prompt approval.

    • Maintain organized records of permits, including approved, pending, and expired permits.

  2. Compliance and Code Knowledge:

    • Ensure HVAC systems comply with all local building codes, zoning laws, and environmental regulations.

    • Stay up to date with changes in building codes and local regulations affecting HVAC installations.

    • Work closely with the project team to ensure all required documentation and inspections are completed for HVAC permits.

  3. Liaison and Communication:

    • Act as the primary point of contact between the HVAC division and local municipalities for permitting-related matters.

    • Coordinate with project managers, contractors, and subcontractors to ensure compliance with HVAC permitting requirements.

    • Communicate permit requirements and statuses to all relevant team members to prevent project delays.

  4. Documentation and Reporting:

    • Maintain accurate and up-to-date records of all permits, inspections, and approvals.

    • Prepare and submit necessary reports on permit statuses for management and regulatory agencies.

    • Ensure all permits are logged and tracked in internal systems for future reference.

  5. Inspection Coordination:

    • Schedule required inspections with local authorities and ensure HVAC work passes inspections.

    • Address any issues raised during inspections and facilitate necessary corrections or re-inspections.

  6. Problem Solving and Issue Resolution:

    • Proactively identify and resolve potential permitting issues or delays.

    • Troubleshoot and handle any complications related to permit applications, approvals, or inspections.

  7. General Administrative Support:

    • Provide administrative support to the HVAC team, including filing, organizing documents, and maintaining records.

    • Assist in tracking project timelines and deadlines related to permitting and inspections.

Specific Qualifications

  • Experience: Minimum of 2 years of experience in permits coordination, preferably in the construction or HVAC industry.

  • Knowledge: Strong understanding of local, state, and federal regulations regarding HVAC systems, permits, and inspections in new home construction.

  • Communication: Excellent written and verbal communication skills, with the ability to interact with contractors, regulatory agencies, and internal teams.

  • Organizational Skills: Strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously.

  • Attention to Detail: High attention to detail, ensuring all permits and documentation are accurately submitted and tracked.

  • Software Proficiency: Proficient in Microsoft Office Suite and permit tracking software.

  • Problem Solving: Ability to identify challenges related to permits and regulations and find effective solutions to overcome them.

  • Education: High school diploma or equivalent; additional certifications in construction or permit coordination is a plus.
