Job Summary: Project Manager

The Project Coordinator is the administrative person for assigned project(s). The Project Coordinator ensures that all administrative duties associated with contracted work are carried out in accordance with contractual obligations and in concert with the Company’s requirements, including but not limited to, safety, quality, management and financial performance requirements. All aspects of the assigned work must be carried out as efficiently as possible with respect to word processing, general filing, timekeeping, records management, correspondence, project financial records, submission of required documents for billing, invoicing, purchasing and general verification of records to achieve Company performance and customer delivery goals.

Job Responsibilities:

Own the KEP schedule (excel document that needs to be updated daily) • Sit on all conference calls to ensure that all deliverables are met • Assist with maintaining Change Order Log for all Cities
o Create/maintain reporting
o Ensure CO’s are added to the budget projection sheet
  • Assist with maintaining milestone schedule for all Cities
o Create reports to show delays or compression
  • Ensure gear and lighting lead time tracker is up to date
  • Assist with maintaining Contract Tracker and provide timely updates to the DP
o Notify DP of delays
  • Assist in taking notes while DP and estimating create budget
o Assist with creating budget projection template and ensure package numbers are encompassed
o Ensure CO’s are added to the budget projection sheet
  • Understand what Pre-con needs to complete KEP drawings
o Submittals & RFI Responses
  • Assist the DP in managing the job flow tracker for each project and the importance of each step
o Create reports to summarize each project status based on the project schedule
o Identify and Notify of all outstanding items per project to DP
  • Have a full understanding what pre-con does and how to assist Director of Projects and PM’s maintain project schedule.
o Assist as necessary with Pre-Con needs.
  • Take meeting minutes and distribute as requested by DP
o Hand-off meetings (pre-con and estimating)
o Contract SOW meetings
o Weekly Project Team Meetings as well as Buyout Meetings
  • Walk projects with field CM/Foreman as directed by Director of Projects
  • Organize and maintain each project specific email

Requirements and skills:
  • Must be self-motivated, positive in approach, professional and help to create, develop and implement process improvement(s).
  • Must promote the Company culture and mission to all employees, vendors, clients and business partners.
  • Must possess proven problem solving skills, critical thinking skills and the ability to effectively read, write and give oral direction(s) to project personnel.
  • Must have proven mid skill level to interpret project documents, including but not limited to, timesheets, spreadsheets and billing documents.
  • Must be able to travel within branch territory and/or regional territory as needed.
  • Must possess the ability to learn Company and customer project management systems.

Education, Certification, License, and Skill Requirements:
  • Must possess at least a High School diploma or GED equivalency.
  • Must have some experience in customer interface, such as liaison between the customer and the Company.
  • Must possess a minimum of three (3) years working experience.
  • Must be proficient with Microsoft Office (Word, Excel and MS Project).
  • Must be able to effectively operate office equipment and computing devices commonly used in the industry.
  • Must meet Company minimum driving standards.
  • Must be able to manage multiple tasks/projects simultaneously.
  • Must have demonstrated verifiable ability to identify a project, create a project filing system, develop detailed associated administrative tasks and manage these for project final record keeping and audit.

  • Experience in New Construction Residential
  • Valid Driver’s License
  • Electrical Apprentic card
  • Must be able to pass and comply with all safety training, background check and drug testing requirements
  • Ability to bend, crouch, stoop, squat, crawl, climb, kneel, balance, and work on ladders and scaffolds
