Job Summary:
We are looking for a proactive, detail-oriented Office Assistant to support daily operations and ensure our office runs smoothly. The ideal candidate is a team player with strong organizational and communication skills, ready to take on a variety of administrative and operational tasks — including capturing high-quality photos of our car inventory.
Key Responsibilities:
Administrative & Office Support:
Answer incoming calls, direct them appropriately, and take messages.
Greet and assist walk-in clients and visitors with professionalism.
Coordinate meetings, appointments, and travel for management.
Assist in preparing reports, documents, and spreadsheets.
Maintain digital and physical filing systems.
Office Management:
Order and manage office supplies; research vendors as needed.
Help maintain a clean and organized work environment.
Support scheduling and organization of team meetings and events.
Data Entry & Record Keeping:
Input and update information in databases and spreadsheets.
Maintain employee records, contact lists, and office documentation.
Prepare routine reports with attention to accuracy.
Communication & Coordination:
Collaborate with other departments to ensure smooth workflow.
Assist senior staff with tasks, requests, and coordination.
Provide general support to on-site visitors and clients.
Additional Tasks:
Take clear and professional photos of cars for listings and marketing use.
Ensure all vehicle images are accurately labeled and uploaded to company systems or sales platforms.
Required Qualifications:
High school diploma or equivalent (Associate’s degree a plus).
Previous experience in an office or administrative role preferred.
Proficiency in MS Office (Excel, Word) and basic office equipment.
Strong attention to detail, time management, and organizational skills.
Excellent verbal and written communication.
Comfortable using smartphones or digital cameras for photography.
Preferred Qualifications:
Experience with CRM or ERP systems.
Familiarity with cloud-based tools and online calendars.
Basic photo editing or listing platform experience is a plus.
Work Environment:
Fast-paced, professional office setting.
Some physical activity required (e.g., lifting light items, walking car lot).
Occasional outdoor work for vehicle photography.
