Job Summary:
The Day Program Administrative Assistant will be responsible for providing support to the Day Program Coordinator and Day Program employees by performing various clerical tasks. This is to ensure that interactions between visitors, employees and the IHCOS organization will be positive and professional. Tasks include managing the front desk, answering calls and helping the Day Program Coordinator. Your contributions will directly impact the success of our program and the well-being of our individuals.
Job Duties:
- Greet and direct visitors to appropriate location or administrative staff
- Communicate effectively with clients, families, and staff, providing excellent customer service and support.
- Answer phone calls and direct callers to appropriate office staff; take messages
- Provide callers and visitors with information about the Day Program; where to find application, directions to office, office address etc.
- Work with Day Program Coordinator to manage operations of Day Program
- Assist Day Program Coordinator in planning and implementing activities for individuals in program and out in the community
- Work with fellow Administrative Assistant (of the admin office) to ensure clerical tasks are completed; cover for Administrative Assistant if they are absent
- Issue out company vehicles to staff for activities; monitor the condition and report if there are any issues
- Liaise with Day Program Coordinator and Delegating Nurses for medical appointments; ensure that a company vehicle is available for medical appointments
- Ensure office is locked and secured before leaving for the day
- Record when appointments are scheduled; record when conference rooms will be reserved
- Maintain accurate records and files, ensuring confidentiality and compliance with regulations.
Qualifications:
- High school diploma or equivalent; Bachelor’s Degree preferred
- Experience working in an administrative, healthcare or social assistance is preferred
- Experience working with individuals with development disabilities is preferred

- Must be professional in dress and manner; polite and organized
- Must be able to communicate effectively verbally and in writing
- Must be able to work well with others
- Excellent computer skills; proficient in the use of Windows, Microsoft Word, Excel, and Outlook
- Must be at least 18 years old
- Must have at least a High School Diploma

Working hours are from 8:30am - 3:30pm
May be asked to cover 8:30am - 5:00pm if other Administrative Assistant is absent
6.5 or 8 hours a day excluding break
6.5 hours corresponds to usual schedule of 8:30am - 3:30pm
8 hours corresponds to schedule covering for other Administrative Assistant 8:30am - 5pm
