Position Summary:
The Sales and Events Operations Manager executes meetings and events while ensuring all logistics requirements are carried out according to the detailed plan. The manager works closely with all involved departments to ensure all operational requirements of meetings or events are fulfilled.
Primary Duties and Responsibilities:
- Provides superior guest service.
- Maintains, and perpetuates a positive organizational culture according to the principles of the Spirit of Tâlícn and the Core Values of ilani.
- Duties include detailing of BEO’s for communication, and execution of highly successful Meetings and Events.
- Provides supervisory direction to the sales and events coordinator.
- Oversees the management of space requirements of the Meeting and Entertainment Center, Cowlitz Ballroom, Convention Center, various meeting and event spaces, and private dining venues.
- Manages event space calendars optimizing best use of space monitoring financial assessment and use of labor. Combination of public and private events.
- Ensures that all aspects of the Banquet Event Order (BEO) are entered into Delphi, distributed in a timely manner and built out correctly.
- Organizing and monitoring the use of all spaces and venues around the property.
- Coordinates customer (internal and external) expectations with all associated departments as confirmed business becomes definite or finalized.
- Up-sells events from pre to post convention, coordinating customer expectations with all related departments.
- Attends all banquets event order specification meetings including but not limited to BEO, Group Resume, and pre-and post-conference meetings.
- Is a committed team member promoting the company’s mission, vision, and core values on a consistent basis.
- Planning the venue layout with Sales, Special Events, and Convention Services according to the number of guests, type of event and overall execution.
- Day of event point of contact for client for various events - internal and external.
- Work closely with Sales and Special Events Team, Audio Video and Culinary Banquet team in assisting with scheduling outside support of various roles, timing for event set-up, servicing and take-down.
- Performs other duties as assigned.
Minimum Qualifications:
- Bachelor’s or associate degree, plus 3-5 years of experience in Sales and Event Management, in a fast-paced, ever-changing environment, or an equivalent combination of education and experience.
- Must possess excellent interpersonal skills with an ability to foster a supportive and enabling team environment.
- Proficiency in Office Suite software, event management software, such as Delphi/Agilysys.
- Exceptional ability to be creative, organized, and curious with the proven ability to think on your feet, with constantly changing meeting deadlines.
- Experience supervising venue staff.
- Ability to effectively collaborate with all internal departments and outside vendors, creating and supporting highly successful meetings and events.
- In-depth knowledge of hospitality industry best practices.
- Ability to work a flexible schedule including evenings, weekends, and holidays.
- Must be able to stoop, kneel, crouch, and crawl.
- Must be able to stand and/or walk for extended periods of time.
- Must be able to lift and move up to 50 lbs.
- Must be willing to work in inclement, hot, and cold weather conditions.
- Must be able to work in an environment where the noise level can be loud.
- Must possess a valid Driver’s License and responsible transportation.
- Must be willing to work in a smoking environment.
- Must be willing to adhere to company health and safety measures.
Preferred Qualifications:
- Degree specific to hospitality management or culinary arts preferred.
