Position Overview
We are seeking a detail-oriented Medical Records Specialist to join our clinic. This role is vital to our operation, ensuring accurate documentation, efficient record management, and timely communication with insurance companies, attorneys, and third-party administrators.
Key Responsibilities
- Maintain organized electronic and physical medical records in compliance with HIPAA regulations
- Process and respond to medical record requests from insurance carriers, attorneys, and authorized parties
- Enter accurate patient information into electronic health record systems
- Prepare and assemble medical documentation for workers' compensation claims and personal injury cases
- Track and manage record release authorizations
- Coordinate with clinical staff to ensure complete and accurate documentation
- Assist with medical record audits and quality improvement initiatives
- Generate reports and correspondence related to medical documentation
- Sort, file and collate a variety of medical records and information such as progress notes, treatment plans, nursing/clinical notes and discharge summaries into the patient’s medical record
Qualifications
- High school diploma required; Associate's degree in health information management or related field preferred
- 1-2 years experience in medical records management, preferably in workers' compensation or personal injury settings
- Proficient computer skills and experience with electronic health record systems
- Understanding of HIPAA regulations and medical records privacy requirements
- Strong attention to detail and excellent organizational skills
- Effective written and verbal communication abilities
- Ability to prioritize tasks in a fast-paced environment
