GENERAL DESCRIPTION

The Student Operations Coordinator position in the College of Architecture will serve as the first point of contact for the students that visit the College both in person and virtually. This position will coordinate daily administrative and operations activities of the College, involving students, faculty, and staff.

The Student Operations Coordinator is a front-line position providing customer service to internal and external constituents, and providing primary business administration support to the students of the College of Architecture.

This position is expected to start at or before 8 : 30am as the person who will be responsible for opening the Dean’s Administrative office daily.

Occasionally work nights and weekend to staff College events may be required.

The salary range for this role is $40,000 and $45,000 and is commensurate with experience.

CUSTOMER SERVICE Respond and initiate personal contact, emails, phone calls and letters to students, faculty, and staff, as well other institutions’ representatives and outside vendors. Cultivate communication through professionalism, tact, and confidentiality. Special Schedule Requirements Occasionally work nights and weekend to staff College events may be required. Qualifications Education & Experience

  • Bachelor degree preferred or equivalent work experience.
  • Administrative experience required.
  • Must be able to plan, organize and work on various assignments concurrently having the ability to independently prioritize multiple tasks in a professional manner.
  • Must have exceptional interpersonal skills and ability to work positively and independently in a fast paced and open office setting.

Knowledge & Skills Advanced MS Office skills, Google Apps; Adobe Suite; good organizational and communication skills. Any experience with scheduling software is welcome. SUPERVISION & BUDGET AUTHORITY No supervisory or budget authority. May direct the work of student workers. Physical Environment and Requirements Normal office environmentMay be required to run errands across campus involving walking the distance of campus and work occasional nights and weekends for college events as needed. N / A Key Responsibilities Key Responsibility Student Program Support

  • Coordinate the College’s Teaching Assistant, Research Assistant, Grants, Scholarship and other special funding processes for students.
  • Serve as the College representative for coordination of university-wide student programs and events such as Commencement, Career Fairs, etc. Assist with the College’s orientation programs for incoming students. Assist staff and faculty in coordination of the College’s annual Student Spring Awards and Open House.
  • Support Assistant Dean for Undergraduate Student Advising including but not limited to inputting advising notes, scheduling appointments, and maintaining student records.
  • Percentage Of Time 50 Key Responsibility Administrative Support :

  • Assist the College with logistical support, including : editing and formatting student related documents; coordinating meeting arrangements, materials, and minutes; and completing mail merges and managing mailing projects.
  • Provides administrative support on special projects, maintains current mailing lists, performs comparative research and fact checking to support student events / programs for the college.
  • Assists Office Manager with student communications, enrichment and student organization management.
  • Percentage Of Time 25 Key Responsibility Student Interface Coordination

  • Acting as the “face” of the College of Architecture Administration office, this position staffs the Dean’s office front desk and supports general office operations, is the first point of contact for students, as well as visitors and guests, and always maintains a courteous and professional working environment. Activities include answering the main telephone line receiving and routing phone calls as appropriate; handling and distributing incoming and outgoing student related mail and emails. Communicate with or refer students to College and University procedures and policies.
  • Manages purchases and student expense reimbursements for the Dean’s office and Procurement Card reconciliations for the Office and Finance Manageras required for program awards procedures.
  • Percentage Of Time 20 Key Responsibility Other activities, as assigned by the supervisor and approved by the Dean. Percentage Of Time 5
