Title: Assistant Director of Aquatics& Risk Management
Primary Position: The Assistant Director of Aquatics & Risk Management provides safe aquatics opportunities for students, faculty, staff, and the community that appeal to a wide variety of constituents following state, national and industry standards. The position Is also responsible for coordination and supervision of all aspects pertaining to Risk Management for Campus Recreation.
Major Duties & Responsibilities
Aquatics Duties & Responsibilities (40%)
- Hire, train, supervise and evaluate a full-time Aquatics Coordinator and all student staff (Learn-to-swim Instructors,
Lifeguards, Head Lifeguards, and Student Coordinators), and additional hourly students. - Determine staffing needs and hire qualified candidates based upon certifications, experience, skills, and ability to contribute to the diverse needs of the University of Illinois and Campus Recreation.
- Supervise and assist in the development of the Aquatics Coordinator, and student staff within Aquatics.
Work with the Assistant Director for Student Development to ensure consistent training and development across the department. - Develop training plans and conduct regular in-service trainings.
- Set working schedules for all aquatics staff.
- Evaluate personnel via random shift audits and observations from professional and leadership staff.
- Create and routinely update all Aquatic employee manuals to ensure alignment with unit policies and procedures.
- Prioritize tasks and assign/delegate duties to Aquatics Coordinator as needed for all events.
- Direct programming and scheduling of the Learn-To-Swim Program, Aquatic Sports Clubs, Kinesiology classes and other aquatic events programs; authorize external reservations in collaboration with the Assistant Director of Events & Facilities Scheduling, including birthday parties, camps, Athletics, SCUBA, and other campus & community events.
- Coordinate Risk Management and Aquatic courses including Water Safety Instructor, Lifeguard and Blood Borne Pathogens for lifeguard instructor, lifeguard training, CPR, and First Aid.
- Oversee all aspects of the CPR/AED/BBP/First Aid training; implement practices to ensure compliance with Campus Recreation completion policies; supervise the teaching of the classes and Instructors; coordinate support staff to include/retain documentation and course records; manage American Red Cross learning center.
- Maintain compliance with state codes and national standards including Illinois Department of Health bathing codes, National Pool and Spa Association guidelines for operating pools, the Americans with Disabilities Act guidelines regarding accessibility of recreation and pool facilities.
Risk Management Duties & Responsibilities (40%)
- Hire, train, supervise, and evaluate part-time employees to assist In the facilitation, management, and oversight of Campus Recreation risk management.
- Evaluate events and ensure compliance with University standards related to risk management.
- Implement risk management initiatives, including Hazardous Chemical Communication, Bloodborne Pathogens, Active Threat, OSHA/F&S, Building Emergency Action Plans, among others in coordination with Campus Recreation staff.
- Develop, Implement, and manage a safety audit program for student employees.
- Identify high-risk areas and develop safeguards for all Campus Recreation programs, facilities, and special events.
- Develop, implement, and train staff on building emergency action plans, and hazardous waste pickup.
- Monitor and evaluate all patron incident reports. Serve as lead staff member for member appeals to sanctions or
suspensions. - In conjunction with Campus Recreation facility scheduling staff, provide risk management/safety oversight and guidance for programs and events.
- Promote Campus Recreation collaboration with other campus units and the surrounding community on issues pertaining to Risk Management. Additionally, act as liaison to the Campus Risk Manager(s), Legal Services and Claims Management.
- Ensure all professional and student employees are well- versed In Campus Recreation policies, procedures, and risk management initiatives.
- Oversee the development and delivery of assumption of risk/waivers/indemnification tools through the use of a waiver generating software, like Connect2, Protection of Minors, proof of insurance, and safety certifications for Campus Recreation.
Department Duties & Responsibilities (20%)
- Work cooperatively with other Campus Recreation program areas when needed, including the development of collaborative programming.
- Participate as a member of the Campus Recreation professional staff in the development and implementation of policies and procedures.
- Compile information and data in conjunction with monthly, mid-year and yearly reports. Including, but not limited to, Federal Work Study Information and compliance with campus hiring expectations.
- Secure, maintain, and inventory associated equipment and supplies in conjunction with the Campus Recreation Business Office. Recommend necessary equipment and supply purchases as needed.
- Develop policies and procedures related to the evaluation of unit facilities and equipment and conduct the evaluations as needed.
- Track and compile information and data in conjunction with monthly, mid-year, and yearly reports. Utilize information to develop policies, procedures, and strategic goals, and cohesion of internal schedules for Aquatics and Risk Management for Campus Recreation.
- Develop internal and external marketing and promotion efforts focused on Aquatics and Risk Management programs and events in conjunction with the marketing department, which may include print information, website design, social media outreach, and publicizing area achievements.
- Review matters relating to fees, supervision, budget, and fiscal and programmatic responsibilities.
- Participate in the development of programs, departmental objectives, and long-range planning, by performing research, providing recommendations, and implementing plans as appropriate.
- Responsible for documenting facility usage information.
- Serve on Division, Department, and/or University committees as assigned.
- Design and implement special projects that support the overall mission of Campus Recreation.
Assist with night and weekend coverage as needed.
