Duties & Responsibilities
Inventory Management:
- Develop, coordinate, and maintain an inventory record system that meets State, University, school and college policies and requirements.
- Update school procedures per campus and state guidelines. Make modifications and improvements to existing workflows to increase accuracy and efficiency within the school.
- Follow current processes for incoming new inventory by designating appropriate codes, affixing tags, entering information into campus and departmental databases, etc. Coordinate the movement of property from one space to another, tracking the new location of the property.
- Coordinate data capturing and reconcile all data relating to capital equipment to be inventoried, assuring it is uploaded into the University Fixed Asset System.
- Serve as primary department contact for the Campus Property Accounting Office.
- Coordinate the disposal or removal of inventory items no longer needed, considered surplus, or when transferred into or out of department.
- Provide technical guidance and information, such as preparing reports for research groups and accounting staff, as needed.
- Oversee and participate in a physical inventory of departmental property and equipment as needed, working with the school Business Office to reconcile discrepancies involving inventory.
- Manage all equipment loans and transfers to other departments/institutions.
Shipping and Receiving:
- Develop and maintain effective processes for handling inbound and outbound mail and freight for faculty, staff and students.
- Manage interactive receiving programs which gather equipment inventory data and track deliveries to the department.
- Gather economical quotes for shipments, process payments for freight invoices, and handle loss/damage claims.
- Create and prepare reports, liaising with EngrIT on improvements to the My.SiebelSchool Receiving App.
Lab Management:
- Collaborate with the unit facilities team and space committee on the selection, purchase, storage, and allocation of lab equipment and supplies for select school laboratories.
- Liaise with faculty, staff and graduate students on the appropriate use, upkeep, and scheduling of lab space. Establish, document and share laboratory procedures and guidelines, where appropriate.
- Monitor lab safety conditions, scheduling inspections and coordinating training for all lab users.
Other:
- Participate in the hiring, training, supervision, and evaluation of student employees.
- Assume additional appropriate duties to further the mission of the department, including, but not limited to, serving as occasional back-up for primary purchasing employee and assisting with other ad hoc purchases for the department.
