Job Summary:
We are seeking a highly organized and adaptable Administrative Assistant to provide support across multiple departments. This role involves a variety of administrative tasks, including document management, data entry, mail distribution, office coordination, and vendor scheduling.
Key Responsibilities:
- Scan, file, and maintain both physical and electronic records.
- Manage mass mailings and FedEx document shipments.
- Distribute information to relevant parties promptly.
- Coordinate office events and personnel scheduling.
- Answer phones and provide excellent customer service.
- Schedule and source vendors; enter and track maintenance requests.
- Process invoices, estimates, and follow up with tenants, borrowers, and third-party providers.
- Maintain office supply inventory and reorder as needed.
- Assist in preparing reports, presentations, and correspondence.
- Handle confidential documents with discretion.
- Perform general office duties, such as copying, scanning, and organizing files.
