DESCRIPTION: This position supports the on-going growth and success of Imagination Station’s events. They lead the planning and coordination of events of varying sizes and purposes at the science center. This position falls under Marketing and reports to the Director of Marketing.
This position works closely with the Operations, Development, and Sales teams to help attain the revenue necessary to achieve the science center’s mission. This person should be enthusiastic on planning and executing special events, be creative, provide outstanding customer service and be able to build relationships with customers and vendors.
RESPONSIBILITIES:
- Communicate directly with clients throughout the event planning process to learn requirements and expectations and ensure all parties understand relevant details
- Coordinate with internal departments to manage the planning and execution of facility rentals
- Coordinate internal communications for all events
- Supervise and monitor events from setup to teardown to ensure compliance with the planned format, vendor cooperation, issue resolution, and overall participant satisfaction.
- Provide clear and detailed event planning and execution instructions to organization
- Oversee logistical requirements for paid fundraising events, i.e. over 21 events, including pre and post event work.
- Increase recruitment of event participants/partners and retention of past partners
- Secure at least $80,000 in event rental revenue annually
- Secure in-kind donations to reduce costs and increase community involvement and engagement in fundraising events
- Track and analyze timelines and benchmarks to determine true event and donor engagement toward meeting overall goals
- Provide data for event budgets and update reports
- Stay within budgeted parameters with secured vendors
- Serve on the internal events committee
REQUIREMENTS:
- Bachelor’s degree in event planning, business, or related field or equivalent experience
- Minimum 2 years of special event experience
- Proven track record for growth of special events
- Excellent written and oral communication skills
- Excellent organization, time management, interpersonal and problem-solving skills
- Previous sales experience helpful but not required
- Works well under pressure and in an environment of change while maintaining a positive and cheerful disposition
- Ability to accomplish projects with minimal supervision
- Ability to work evenings and/or weekends
- Must have a valid driver’s license, with a safe driving record and be capable of operating the Imagination Station owned minivan for program purposes
- Must have a reliable vehicle and be willing to provide occasional transportation to events within the Toledo area when Imagination Station vehicle is not available
