Position: Administrative Assistant Pay Type: Exempt Non-exempt
Reporting Relationships
The Administrative Assistant reports to the Executive Center Director and the Assistant Center Director in the absence of the Executive Center Director. May also take direction from the Assistant Center Director.
Location
Though assigned to a specific center, the Administrative Assistant may be asked to work at alternate locations within his/her given region. In addition, travel may be required for trainings, conferences, or professional development.
Qualifications
The Administrative Assistant’s qualifications must meet or exceed state licensing requirements for age, education, and experience as well as:
- A Bachelor’s or an Associate Degree in Early Childhood Education is preferred
- Preferred at least three years of experience in a licensed childcare center with children ages 5-13 years
- Knowledge of local and state laws governing childcare
- Knowledgeable in Microsoft, Word, Excel and Publisher software programs
- Preferred bookkeeping and/or accounting experience
- Excellent written and verbal communication skills
- Strong customer service skills
- Excellent organizational, problem-solving, and time-management skills
- Friendly and approachable demeanor
- Maintain a professional appearance, attitude and work ethic always
- Current certification in pediatric cpr and first aid
Job Summary
The Administrative Assistant functions in assisting the other members of management and classrooms.
Some tasks may include administration of medication, staffing, accounting and attendance tasks, child files, providing enrollment information to perspective families, as well as other clerical duties. The
Administrative Assistant interfaces with parents and families. Therefore he/she must execute excellent customer service skills.
Job Responsibilities and Tasks
Relationships with Families
- Maintains effective communication with families
- Maintains professional conduct when working with parents and children
- Maintains strict confidentiality regarding children and families
- Address parent concerns in the absence of the Executive Center Director, communicate any parent concern and course of action to the Executive Center Director.
Quality Educational Environment
- Ensure a safe, happy, and stimulating environment for children
- Support classroom staff by providing a loving, nurturing, and educational environment for children
- Models and encourages high quality teacher-child interactions.
Fiscal Responsibilities
- With the collaboration of the Executive Center Director and Assistant Center Director, ensures that the required classroom headcounts are completed.

- Makes purchases necessary for programs while maximizing operational profit
- Support with enrollment and retention tasks
- Assist with family accounts
Management of Staff
- Fosters a positive work environment by modeling appropriate and professional behavior
- Carries out staffing schedules with the guidance of the Executive Center Director
- Participates in all staff training sessions, meetings, and programs as requested by the Executive
Center Director and sponsored by the center. Willing to lead session if requested to do so by the
Executive Center Director.
Regulatory/ Health & Safety
- Ensures parents accurately complete forms required to transport children
- Ensure the center facilities are safe for children and comply with laws and regulation
- Understands and implements emergency procedures in case of emergency situations
- Ensures proper staff/child rations are being followed
- Implements all standards necessary to ensure a clean, safe, and healthy environment, including universal precautions
- Requires staff to enforce all safety policies and procedures in compliance with all regulatory agency requirement
- Participates in emergency drills in accordance with company and licensing requirements
- Ensures all children have complete up to date records
Physical & Mental Requirements
- Childcare demands physical fitness and mental acuity as staff care for children who cannot care for themselves. The Administrative Assistant must be able to react quickly with sound judgement and problem-solving skills in complex and critical situations.
- Must be qualified and able to perform the duties of each staff member in the event they are absent
- Must be capable of lifting, carrying, and holding children weighting up to 60 pounds, up to 100 times daily
