JOB SUMMARY
The Event Project Manager is responsible for the on-time and cost optimizing delivery of all graphics projects assigned to them by the Event Director . With these obligations, the Event Project Manager is expected to ensure a world class experience for customers throughout a project’s lifecycle. The Event Project Manager will obtain critical project data from customers and account team alike and accurately disseminate this data to internal stakeholders who will help to facilitate the project’s completion. This position will monitor and manage every phase of a graphics job through effective communication and coordination with other functional areas of the Company (Account reps, design, production, install, etc.), in addition to communication with customers. The Event Project Manager will consistently review customer orders to ensure accurate and on time product delivery, while, at the same time, monitoring costs to ensure estimates are met or beaten.
ESSENTIAL FUNCTIONS (include but are not limited to)
- Coordinates the activities of the Graphics Dept. and manages the flow of the creative requests through our systems.
- Work on local account projects and seasonal events such as the Grand Prix, branded graphics packages, building wraps and other special projects. These projects may require meeting with clients and driving to various local locations (e.g. Downtown Detroit, client locations, etc) During event will require long hours, and overtime to meet deadlines.
- Manage projects to timelines and budget constraints. Develop and track budgets.
- Workflow development and documentation
- Communicates and implements the Graphics Dept. process for all projects to best facilitate the workflow of design and production stages. Lead projects through planning, printing and installation. Facilitate issue resolution, escalating when appropriate.
- Develop, maintain and communicate project timeline & project tracker
- Process creation, documentation & improvement
- Ability to utilize Gantt chart for project planning including approvals, production, installation, post event dismantle
- Work order input, tracking and updates (including change orders)
- Detailed inventory and itemization tracking
- Notifications to external parties of key deadlines
- Product review and sign off (approval) tracking including creative and graphic proofs
- Clearly document & communicate customer requirements
- Assist in determining production timing / prioritization through planning with various stakeholders (Graphics & Graphic Production areas, Design, etc.) and work with these parties to implement new products and / or processes
- Work with team members to adjust design to fit preferences of the client
- Communicates and meets with team members to assess upcoming projects and manages active projects
- Identify potential risks and develop effective response plans
- Maintain a list of all projects to be reviewed
- Assists in special seasonal projects with the Project Managers
- Review customer orders for accuracy
- Excellent attention to detail and ability to stay organized
- Ability to prioritize, multitask, and meet tight deadlines
