Summary
The Customer Service Representative will report directly to the Customer Service Manager and collaborate with all operational departments. This role requires a motivated individual with a strong commitment to providing exceptional customer service and outstanding organizational skills.
Core Responsibilities:
· Answer calls and emails, delivering exceptional customer service to both internal and external customers.
· Draft reports, correspondence, and other business documents as needed.
· Manage and prioritize multiple Outlook inboxes effectively.
· Support operational and administrative needs, including additional tasks as assigned.
Daily Tasks:
- Each day begins with a review of the data received overnight or over the weekend.
- File Receipts: Record the quantity of files received and update the tracking sheet. Make a note if files are missing or delayed.
- Match Receipts to Processing Reports: Verify that files have been processed, then delete or file accordingly.
- Review & Send Processing Reports: Assess key details such as service class, total records mailed, duplicates, rejects, catalog discrepancies, and backorders. Research issues as needed and notify the client about any detected problems.
- Correspondence: Review and respond to client correspondence, including catalog changes or revisions. Acknowledge receipt of all client inquiries and provide updates when necessary.
- Client Inventory Management: Monitor and manage client inventory updates, notifying the client of new items, back orders, and any discrepancies.
Position Requirements
- High School Diploma or GED required.
- 2–3 years of previous customer service experience.
- Strong ability to prioritize and multi-task in a fast-paced environment.
- Customer-focused with excellent attention to detail.
- Proficiency in Microsoft Excel and other MS Office products.
- Excellent verbal and written communication skills.
- Capable of working independently or collaboratively within a team.
