The Administrative Assistant, Admissions will play a crucial role in managing the admissions process, from the start of an application through to enrollment. This role will be responsible for helping to process all aspects of student applications and enrollment at IMG Academy. Assist in guiding over 900 new students, and their families through the admissions and enrollment journey by primarily focusing on working with families to support them in completing the application and maintaining contact and guidance throughout the Admission Process. The successful candidate will work to ensure the Admissions and Enrollment Office is fully supported to provide resources and support that are necessary for the student to have an incredible experience at IMG Academy. Responsibilities include but are not limited to owning processes and communication related to the boarding school application, and onboarding of students.
Position Responsibilities
Effectively communicating with families about requirements and expectations for their boarding school experience, including the admissions and enrollment process
Responsible for assisting families complete the application and support the onboarding experience of a boarding school family, leading up to arrival on campus
Utilize CRM/Blackbaud and other trackers daily to update communication and progress on incomplete applications
Communication
Provide exceptional customer service and accurate communication with current and potential IMG Academy families
Respond to inquiries from prospective students and their families via phone, email and in-person meetings
Operate as the main greeter in the Admission’s/Enrollment Office welcome center
Maintain supplies for IMGA visitors and guests including sufficient water, Gatorade, and Coffee
Act as a liaison and point of contact between the families and the Academy, specifically regarding the application experience
Proactively communicate regularly with IMG Academy student-athletes on the status and progress of their respective families to set them up for success when they arrive to campus
Collaboration
Collaborate with the Director of Enrollment to ensure best practices and identify new opportunities for efficiencies and growth
Provide coverage during boarding school check-in to answer any questions, and assist where needed
Assist with overflow of needs from the Enrollment Office especially during peak seasons on campus
Other duties as assigned

Serve as the first point of contact with Visitor’s/Guests to ensure a proper first impression of the Academy and our culture
Required Knowledge, Skills and Abilities
1 year of progressive work experience
Experience with high-volume calling
Excellent written and verbal communication skills
Adequate Microsoft Excel skills (Data Validation, IF formulas, VLOOKUP, Pivot Tables, Slicers, Conditional Formatting, etc.)
Highly organized and prepared; flexible in meeting the needs of multiple departments in a timely fashion
Proven ability to multi-task while handling a wide array of responsibilities
Experience communicating highly sensitive information amongst multiple departments
Strong commitment to customer service and the student-athletes’ and their families’ experience, as well as collaboration within the team and across multiple departments on campus
Knowledge, Skills and Abilities
Knowledge of Admissions and Enrollment processes is sought, but not required
Experience with running call out campaigns while reporting results with a strategic outcome
Previous experience in admissions, enrollment, student services, or a related field is preferred
