Position Summary:
We are seeking a highly organized and detail-oriented Financial Program Assistant to support the Financial Director at The Immigration Project, a leading legal aid organization dedicated to providing legal services to underserved, immigrant communities. As a Financial Assistant with Office Manager duties, you will play a crucial role in managing financial records, assisting with budgeting and reporting, and ensuring the office runs efficiently. You will work closely with our administrative team while also overseeing administrative tasks to support our staff and enhance productivity.
Key Responsibilities:
Financial Assistance:
- Prepare and maintain financial reports, budgets, and forecasts.
- Assist with accounts payable and receivable functions.
- Reconcile bank statements and monitor cash flow.
- Support the preparation of financial statements and audits.
- Help manage payroll and employee expense reimbursements.
Office Management:
- Oversee daily office operations and maintain a positive work environment.
- Manage office supplies and equipment, ensuring everything is well-stocked and functioning.
- Coordinate office events and meetings, including logistics and scheduling.
- Act as the point of contact for facility management and vendors.
- Implement and maintain office policies and procedures.
Qualifications:
- High School Diploma (Required), Bachelor’s degree in Business Administration,Finance, or a related field (Preferred).
- Proven experience as a financial assistant, accounting role, or other relevant administrative support experiences preferably within a legal or non-profit environment (Preferred).
- Ability to Speak Fluent Spanish, strongly preferred.
- Exceptional organizational and time-management skills with the ability to handle multiple priorities.
- Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace) and familiarity with legal terminology and processes.
- Strong written and verbal communication skills.
- Demonstrated ability to handle sensitive information with discretion and maintain confidentiality.
- High level of accuracy and attention to detail in all tasks and documentation.
- Ability to thrive in a flexible, fast-paced and growth-oriented environment, while maintaining a cooperative, friendly, and helpful attitude with clients and co-workers.
