Import Documentation Coordinator
As one of Miami’s most experienced and reputable US Customs Brokers, Imperial Freight is known for our expertise in clearing all types of cargo. The Documentation Specialist is responsible for receiving, organizing, verifying, and processing all documents required for customs clearance. They ensure timely and accurate preparation of files to facilitate smooth import entry procedures. The role involves close coordination with the Customs Broker, import coordinators, and other stakeholders to ensure compliance with customs regulations and efficient handling of shipments.
Key Responsibilities:
- Document Handling: Receive and review all documentation related to import entries, including commercial invoices, packing lists, certificates of origin, bills of lading, and other relevant documents.
- Verification: Check documents for accuracy, completeness, and compliance with customs regulations and client requirements. Flag and resolve discrepancies.
- Data Entry: Input necessary information from documents into internal systems or software to facilitate the customs clearance process.
- Communication: Liaise with shippers, freight forwarders, and other stakeholders to obtain missing or corrected documents as needed.
- File Preparation: Assemble and organize all required documents for each import entry and pass them to the import coordinator in a timely manner.
- Compliance: Stay updated on customs requirements and ensure all documents meet regulatory standards.
- Support Coordination: Provide administrative and clerical support to the import coordination team as required.
· Inland, Ocean and Air Freight Coordination: Provide quotes to clients, schedule and coordinate pick-up, transit, and delivery timelines to meet client requirements. Serve as the primary point of contact for customers regarding shipment status and inquiries.
Qualifications:
- Education: High school diploma or equivalent; bachelor’s degree in logistics, supply chain management, or related field preferred.
- Experience: 1–2 years in a logistics, shipping, or customs environment preferred. Familiarity with import/export documentation is a plus.
Skills:
· Strong attention to detail and organizational skills.
· Excellent communication and problem-solving abilities.
· Proficiency in Microsoft Office (Word, Excel) and relevant data entry systems.
· Ability to manage multiple tasks and prioritize effectively.
· Knowledge of customs regulations and terminology is an advantage.
