What are the responsibilities and job description for the Administrative Assistant - Seasonal position at Imperial?
Monday-Friday 6 : 00AM-2 : 30PM
Responsibilities Include :
- Monitor and respond to emails, phone calls, and voicemails efficiently.
- Develop and coordinate the weekly receiving appointment schedule.
- Prepare and print all necessary shipping documents, including Bills of Lading (BOL), invoices, and handbills, in accordance with the shipping manual.
- Assist leads in organizing headers for daily picking.
- Supply Coordination :
- Conduct monthly inventory of office and warehouse supplies.
- Verify inbound supply orders upon arrival.
- Submit a weekly report (Thursday) to the Computer Room detailing available printer labels, printer ribbons, invoices, and Bills of Lading.
- Submit a monthly supply request to the Supervisory Team by the 20th of each month.
- Driver & Security :
- Assign vests to incoming drivers and monitor the driver log daily.
- Ensure air locks are placed on every trailer as drivers check in with the warehouse team.
- Ensure all inbound shipments have properly completed receiving slips and deliver them to the Accounting Department via the yard driver by the end of the shift.
- Assist leads and supervisors with Excel-based reporting and tracking as needed throughout the season.
- Must be able to operate single and double transporters, as well as pallet jacks.
- Must be available for overtime as needed to meet workload demands.
- Other Duties : Perform additional tasks as assigned.
