Overview
We are seeking a highly organized and proactive Administrative Specialist to join In Balance. We provide therapeutic services for individuals struggling with substance use and other co-occuring disorders. This role is essential in ensuring the smooth operation of our administrative functions and providing exceptional support to our staff and clients. The ideal candidate will possess strong skills in office management, customer service, and administrative tasks, with a keen attention to detail. This role supports the company executives and admissions director.
Responsibilities
- Manage daily office operations, including filing, calendar management, and scheduling appointments.
- Setting up travel when needed
- Helping Admissions Director by filtering phone calls and coordinating parent tours
- Providing tours to families
- Support team members with administrative tasks, acting as a personal assistant when required.
- Flexible hours with after hours availability
- Provide outstanding customer service by responding to inquiries and assisting clients with their needs.
- Maintain organized filing systems for both physical and digital documents.
- Answer phone calls with professionalism, demonstrating excellent phone etiquette.
- Coordinate meetings, prepare agendas, and take minutes as necessary.
- Assist in managing office supplies and inventory to ensure a well-stocked environment.
Requirements
- High School Diploma required, Associates degree or higher preferred
- Clean/valid Arizona drivers license
- Ability to pass a background check and obtain an Arizona Level One Fingerprint Clearance Card
- Ability to travel from Tucson to the Sierra Vista area when needed
- Proven experience in an administrative role or similar position is preferred.
- Proficiency in Google Workspace
- Strong customer service skills with the ability to communicate effectively both verbally and in writing
- Excellent organizational skills with the ability to manage multiple tasks simultaneously
- Familiarity with phone systems and professional phone etiquette is essential
- Ability to work independently as well as part of a team in a fast-paced environment
- Attention to detail and commitment to maintaining confidentiality in all aspects of work.
