Position Summary:
We are seeking a detail-oriented Invoicing Specialist to manage the invoicing process for our company. The ideal candidate will ensure accurate invoicing and follow-up with customers regarding outstanding invoices. This role requires strong organizational skills, attention to detail, and excellent communication abilities. This position reports to the Controller of the Measurement & Alignment division.
Essential job duties include:
- Generate and send invoices to clients in a timely manner
- Ensure new jobs are set up correctly in the project accounting system
- Review job progress and costs with project managers on a regular basis to ensure costs are accurate and to identify variances from customer quotes and purchase orders
- Proactively raise job-related problems directly with project managers and IPM management as required
- Prepare ad-hoc job reporting as needed by the project managers
- Ensure the accounting team is aware of job invoicing tasks, including progress billing
- Support teammates in the preparation of customer invoices as required
- Open and track capital purchase jobs through to completion
- Close customer jobs upon completion of all job-related activities and archive final job revenues and costs into the project management system
- Assist with month-end close activities including revenue recognition, reporting on job margins, and reconciliation of work-in-process
Successful candidates should possess:
- Bachelor’s degree in accounting or a related field
- 3 years of project accounting experience; a background in construction, manufacturing, professional services, or other industry with complex job costing needs is preferred.
- Desire to work in a fast-paced, results-driven environment.
- Demonstrated ability to communicate effectively with colleagues
- Strong computer knowledge and skills, including financial accounting systems and Microsoft Excel proficiency; experience with Microsoft Dynamics Great Plains is helpful but not required
- Aptitude and desire to propose and implement process improvements
