Incarnation Catholic School has an opening for a full-time Administrative Assistant. Incarnation Catholic School, established in 1961, offers Pre-kindergarten (including VPK) through Grade 8 in a Christ-centered environment forming a community of families, students, and staff. Job Responsibilities
- Provide general administrative and clerical support.
- Answer routine inquiries by phone and/or email.
- Oversees operation of school front office including tidiness and organization.
- Maintains school office equipment and overall office files.
- Assists with copying and mail distributions.
- Monitors students, parents, and volunteers checking in and out on the school check in system and issues visitor passes.
- Maintains attendance system and student records.
- Assists principal with the compilation of reports.
- Assists with preparation and maintenance of personnel file and confidential student cumulative files.
- Responsible for student file maintenance including: scanning, filing, sending out to and receiving from other schools
- Enters all student information into the SIS database
- Orders and maintains inventory of supplies for school office and teachers .
- Assists with the scheduling of substitute teachers to fill in for absent teachers, whether in-house substitute or outside substitute.
- Opens bills and prepares for principal approval.
- Other duties as assigned by principal.
- High school diploma or equivalent.
- Work experience with similar responsibilities.
- Excellent communication and clerical skills; ability to work well with others.
- Demonstrates organizational skills & ability to multitask.
- Proficient In Microsoft Office Suite, word, excel and general office equipment.
- Ability to communicate well with parents, volunteers, staff and stakeholders.
- Exhibits good judgment, is highly motivated and self-directed.
- High degree of flexibility to achieve objectives and meet demands.
