What are the responsibilities and job description for the Executive Coordinator position at inCOMMON Community Development?
Position Summary
The Executive Coordinator provides essential support to all areas of inCOMMON by assisting the Co Executive Directors with a number of administrative duties across the organization, including in fund development, board management, IT, and operations. This individual is highly self-motivated, professional, task-oriented, and capable of managing their workload and prioritizing tasks in a fast-paced non-profit environment.
Job Duties
Executive Team Support (70%)
- Support the Co-Executive Directors primarily and provide additional support to leadership team members, as directed, to ensure that organizational goals and objectives are accomplished and that operations run smoothly
- Support the Co-EDs executive responsibilities, including assisting with communications, contracts, and special projects
- Provide administrative support to Co-EDs in areas such as IT support, requesting office supplies, entering contracts, and processing paperwork
- Assist with preparation for board meetings, events, and presentations, including preparation of digital and paper materials and logistical support
- Other administrative duties as assigned including, but not limited to, typing and distributing meeting notes, filing, making copies, and performing backup duties for other administrative and leadership positions
Fund Development Support (20%)
- Work with EDs and other fund development staff to maintain fund development records, including grant deadline calendars and meetings notes
- Coordinate major donor stewardship and cultivation, including assisting with scheduling meetings, maintaining records, and preparing and distributing materials
- Perform data entry and data management within inCOMMON’s CRM as needed
Program Support (10%)
- Volunteer Management and Communication
- Be the initial point of contact for potential volunteers
- Process volunteer background checks and applications
- Maintain volunteer data as provided by program staff
- Support volunteer onboarding and training through communications and materials prep, as well as organizing rosters and information
- Impact Data
- Support annual data collection and entry at the end of each calendar year
- Create reports and materials synthesizing program and impact data provided by program team
Required Skills/Abilities
- Ability to maintain professionalism and strict confidentiality with all materials
- Flexibility to handle changing responsibilities and last-minute requests
- Spanish-language proficiency not required, but preferred

Education and Experience
- Two or more years of experience in an administrative role reporting directly to upper management
- Proficiency with office productivity tools and an aptitude for learning new software and systems

Salary and Benefits
- $40,000/year
- This position is also eligible for a healthcare stipend, and employer-supported direct primary medical care
