With accountability to the Plant Manager, the Office Manager works independently and performs the administrative tasks on a daily basis to assure an efficient and reliable operation of the office. These duties are performed in compliance with plant policies, procedures, rules, and regulations regarding plant administration, safety, and conduct.
Essential Duties And Responsibilities
- Answering the telephone, directing and/or screening calls, taking and relaying messages.
- Communicate effectively, accurately, and efficiently using oral, written, and electronic methods of communication.
- Assist in the processing of bi-weekly payroll and prepare summary reports for the corporate office.
- Purchasing functions include entering requisitions into the purchasing system and placing orders with vendors, suppliers, and contractors as necessary.
- Receiving shipments, verifying the accuracy of orders, and processing receipt of materials.
- Prepare and verify invoices, perform online posting and forward to the corporate office for payment.
- Perform data entry, receiving and preparing inventory reports using plant maintenance software.
- Prepare, compile and obtain approval for the timely submission of environmental regulatory reports.
- Maintain plant records for purchasing, payroll, federal & state emissions program files, and training.
- Pick up mail from the post office and process it on a daily basis.
- All other administrative or general office support related to duties as assigned.
- This is a non-remote position. Must be able to come into the office every day.
- Previous experience with Purchasing a plus
- Hourly Rate: $22 - $24 per hour. Depending on experience.
- Minimum high school diploma or GED
- Valid driver’s license
- Minimum of 2 years experience in a professional business environment.
- Experience in Microsoft Word, Excel, Outlook, and Adobe.
- Willingness and ability to learn new software programs.
- Must possess excellent written and oral communication skills.
- Reliable, accurate work with strong organizational skills with attention to detail.
- The job typically involves working in an office environment, occasionally traversing the plant operating areas as required.
- Environment - The majority of time is spent at a desk in a sitting position. Walking/standing/stooping as required for records management and filing.
- Typing and data processing.
- Vehicle travel to/from local post office, Fed-Ex, etc. as required to process mail and packages.
- Must pass a pre-employment background check, physical and drug screening
