About the Job:
As the Facilities Project Specialist, you will report to the Managing Director of Facilities and will fulfill various duties and responsibilities. You should be able to work closely with the Managing Director of Facilities, Project Managers and the Security Officer to create comprehensive action plans, budgets and timeframes for getting projects done in a timely manner within set deadlines. Additionally, you will review coordinated maintenance on locations ordered by the Facilities Help Desk and other staff members. You will also backup the Help Desk as needed.

What You Will Do:
- Manages project-related paperwork.
- Proficiency in managing projects from inception to completion ensuring all necessary material are current, properly filed, stored along with the issuing/processing of purchase orders, and the payment of invoices.
- Efficiently oversee the project systems – This involves handling incoming requests and tracking them with either the Work Order System or the Purchase Order System.
- Manages Major Facilities Vendors with support from the Facilities Project Specialist II.
- Coordinates and monitors activities of contracted Major Vendors and/or Suppliers for Facilities Department with the bank’s Vendor Management Department.
- Schedules vendor work based on project needs and requests.
- Invoice Processing and approval for assigned assets on all ordinary recurring expenditures up to $15,000.00.
- Supports Help Desk with Energy tracking of utility bills for branches and bank buildings for The Enhancement and Standardization of Climate-Related Disclosures for Investors under the Securities Act of 1933 and Securities Exchange Act of 1934.
- Quarterly tracking of the Handy Man branch inspection sheets to ensure issues have been addressed and closed out.
- Monthly tracking of Work Orders issued, monitoring activities and ensuring Work Orders are closed out within 60 days.
- Creates a report for the Managing Director of Facilities with notes to review on work orders open beyond 60 days.
- Administers on-going and critical support to various business units throughout the organization to provide emergency and routine maintenance, purchase order requests and monitors these requests using internal operating systems.
- Provide administrative support on the Capital Expense Projects on all locations and partners with Managing Director of Facilities, Facilities Project Managers and Security Officer.
- Coordinates work flow of Managing Director of Facilities.
- Provide backup to Facilities Project Specialist II on Card Access System.
- Backup for the Facilities Help Desk.
- Provide after-hours coverage 24/7/365 days for routine and emergency service to any of the bank’s assets.
- Performs other related duties as assigned.
What We’re Looking For:
- Associates or Bachelors degree or equivalent in business or related field.
- Proficient computer skills, including 3 years of experience with Microsoft Office products including Outlook, Word and Excel.
- Project Management Experience, including calendar/agenda management skills.
- Strong ability to read, analyze, and interpret construction, plans, contracts, leases, and related documents.
- Ability to collaborate and work in a team environment.
- Ability to manage multiple projects simultaneously and excellent prioritization skills.
- Excellent interpersonal, presentation and communication skills, including the ability to actively listen.
- Respects the guidelines, requirements and protocols for ensuring the security and confidentially of all projects and financials.
- Self-starter, industrious with an ability to work independently.
- Knowledge of generally accepted Accounting Principles.
- Strong analytical, mathematical, and data-checking skills.
