Job Summary:
The Administrative Assistant will be instrumental in supporting office operations, requiring excellent customer service skills, and attention to detail. Proficiency in Excel and PowerPoint is essential. The ideal candidate will assist with data entry, report generation, scheduling, answering front desk phone calls, providing office support to the sales team, and other administrative duties, ensuring the seamless operation of daily office activities.
Key Responsibilities:
- Provide general support to visitors.
- Manage incoming and outgoing correspondence.
- Provide office support to our sales team.
- Manage office supply inventory.
- Maintain cleanliness and adequate stocking of visitor areas.
- Manage customer service tickets through Salesforce, ensuring timely resolution and follow-up with vendors and I.B.C. members.
- Close and resolve vendor compliance tickets promptly using Salesforce.
- Support member portal issues using Azure and Salesforce.
- Create, maintain, and analyze reports in Salesforce/Excel to aid decision-making processes.
- Assist in managing product databases to ensure accuracy and completeness.
- Handle administrative tasks such as document filing, correspondence, and data entry.
- Provide office meeting support, including food orders.
- Assist in coordinating office procedures.
- Help arrange travel accommodations, including car rentals, hotel bookings, and flights.
- Assist in event planning logistics.
- Help manage company fleet maintenance invoice using 3rd party GPS system.
- Ensure confidentiality when handling sensitive information, records, and communications.
- Support cross-departmental efficiencies by assisting colleagues as needed.
Qualifications:
- High school diploma or equivalent; some college or college degree (Business Administration or a related field) preferred.
- Proficiency in Microsoft Office Suite, particularly Excel and PowerPoint.
- Strong analytical skills with the ability to interpret data and generate insights.
- Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
- Effective communication skills, both written and verbal, with the ability to collaborate across teams.
- Detail-oriented with a high level of accuracy in work product.
- Previous experience in administrative support or a related role is preferred.
