As an Administrative Assistant – Part Time, you’ll assist the Case Management team at the Cornerstone Residence in Newburgh, New York with administrative tasks to include but not limit to entering data into the HMIS system, setting up meetings, networking with other agencies and providers, coordinating meetings, typing, filing copying, buying refreshments for workshops, etc. You will also be responsible for the upkeep of the front office operations and processes.

As an Administrative Assistant – Part Time, you must be dependable, resourceful, and possess problem-solving skills. As well as be organized and meticulous with proven ability to handle multiple tasks in a fast-paced. We would prefer you to have five years of front office or administrative experience and be bi-lingual English/Spanish. The minimum educational requirement is a High School Diploma or equivalent. Some college, preferred.

DUTIES AND RESPONSIBILITIES:
- Maintains a high ethical and professional working environment in accordance with the Independent Living philosophy.
- Performs office management responsibilities such as entering data into the HMIS system, setting up meetings, networking with other agencies and providers, coordinating meetings, typing, filing copying, buying refreshments for workshops, etc.
- Maintains the upkeep of front office operations and processes.
- Develops a deep understanding of all Independent Living, Inc. (ILI) programs and services and is able to articulate this knowledge to visitors as needed.
- Warmly interacts with all consumers, staff and public as the initial contact. Greets all individuals entering the agency in a pleasant and professional manner. Directs all visitors to the appropriate program contact person.
- Ensures front desk coverage at all times, coordinates with staff and schedules staff as needed
- Sorts and distributes inbound and outbound mail in a timely manner. Also assists staff with outgoing mail support.
- Maintains inventory of ALL supplies and orders as needed.
- Facilitates operation of all office equipment including but not limited to computer technology, telephone system, fax machines, copiers, etc.
- Responsible for Opening and Closing Procedures Log daily, reporting any missing reports to the appropriate party immediately.
- Open and Close Building as needed.
- Maintains contact listing in Outlook.
- Assists in updating and maintaining agency databases.
- Must be flexible with schedule (e.g. arrive early and/or stay late) when needed.

SHIFT:
- Part-time, 20 hours per week during the hours of Monday through Friday 7am-4pm.
PAY RATE:
- $19.50/hr
