Administrative and Design Assistant

GENERAL STATEMENT :

While this position specifies responsibilities, requirements and duties in certain operational areas, this person is an employee of Independent Living Services, Inc. and will be expected to respond to such requests not specifically contained herein. This person must maintain the attitude that he / she works for the whole organization, and as such, exhibits proper cooperation, enthusiasm and interest in all areas deemed necessary for the continuing success of the ILS programs. Knowledge of all policies and procedures of ILS and related corporations of Creative Living, Inc. and Sheltered Living Services, Inc. is required. Knowledge of agency services and support system is required.

JOB SUMMARY :

The Administrative and Design Assistant works under the supervision of the Executive Director. This position provides administrative support in a well-organized manner. The position will involve working on design and marketing materials, special projects and assisting executive team members as needed. Position will involve computer use of various programs, i.e., Windows / Excel / Microsoft Word / Adobe Suite and design editing programs. They will perform related responsibilities as required or assigned. This position requires familiarity with ILS Policies and Procedures, both business and program related. This person needs a general knowledge of services to people with developmental disabilities and knowledge of DDS policies.

JOB DUTIES AND RESPONSIBILITIES :

  • Completing all necessary documentation to assure compliance with all state and federal regulations.
  • Maintaining strict confidentiality for all consumer information, and facility operations

The Administrative and Design Assistant will perform general office duties :

  • Design & Media
  • Design and update brochures

  • Sets up ILS cards and artwork so they can be printed and displayed
  • Development of the annual report.
  • Develop Newsletters
  • Maintains the agencies social media presence
  • Office Duties
  • Typing / composing memorandums / copying materials as needed

  • Prepare for meetings and make event arrangements
  • Assists with preparing for Board Meetings
  • Assists in organizing paperwork / documentation
  • Maintains forms files and revises as needed
  • Runs errands as needed
  • Other duties as needed by Executive Director
  • Assists Executive Team
  • Assists Development with setting up for special events including Fundraisers

  • Assists with large trainings
  • Assists with Special Projects as assigned.
  • Other duties as needed by executive team.

  • Represents agency in the community

  • Attend Community Events as a representative of Independent Living Services
  • Coordinates and Assists with special projects
  • Attend in-service training and / or retraining requirements as scheduled
  • Assists in developing and maintaining an effective public image, acting as a representative of the agency to make people aware of the services and general community good will
  • Maintains confidential information at all times

    The essential job duties require the Administrative and Design Assistant needs to physically be present during work hours. The Administrative Design Assistant cannot telecommute or work from home.

    QUALIFICATIONS :

    The formal education equivalent of a high school diploma; have good knowledge of general office skills and equipment i.e. typing, computer, filing, copy & fax machine, etc.; This person will have a good knowledge of computer design and editing programs. They will have designed promotional items. This person must be very organized and willing to assist in a variety of tasks. This person must be able to operate a vehicle; have a good driving record, must have excellent written and verbal communication skills and be able to do occasional lifting up to 20 pounds.
