Independent Tree is looking for a well-rounded, experienced, progressive, numbers-oriented person to join our growing team as an Accounting & Customer Support Specialist.

The responsibilities are primarily accounting & bookkeeping oriented, invoicing & collections, but you will perform a variety of administrative tasks including managing employee time/payroll, assisting the sales team, job costing, handling incoming calls, scheduling appointments & routing sales appointments efficiently, data entry, running accounting & sales reports and maintaining files. Additional tasks may be assigned. This position will require working closely with our Office Manager/Co-Owner as well as our accounting firm.
We use an industry-specific CRM program called “Arborgold”.
Quickbooks is also heavily used and Excel is utilized routinely to run reports & create databases. A strong working knowledge of Quickbooks & Excel will be an integral part of this position.
For this position, you should be able to use your organizational skills to manage your office space and your time, as you will collaborate with clients and colleagues in a fast-paced environment. You should also have excellent verbal and written communication skills & be able to multi-task, handle interruptions & easily pick up where you left off.
Independent Tree is a small & growing professional tree service in Newbury, OH. We currently employ 20 individuals. As we grow, we need qualified professionals to grow with us. Responsibilities and Duties
- Creating invoices and billing materials to be sent directly to a customer.
- Inputting payment history, upcoming payment information or other financial data into account accounts.
- Informing customers of any missed or upcoming payment deadlines & working with the collections company when necessary.
- Inputting accounting information & running reports in QuickBooks, including journal entries, bank reconciliations, bank deposits, setting up chart of accounts, products & services, etc.
- Ensuring the data in our POS program, Arborgold & QuickBooks match and making corrections where needed.
- Time tracking & payroll reporting to our payroll company.
- Assist in developing and maintaining operational systems.
- Create custom spreadsheets, reports & presentations.
- Provide custom statistical and budget reports through “Arborgold”, “QuickBooks” & Excel
- Answer incoming calls promptly and courteously, helping callers and taking complete and accurate information.
- Help develop, implement and improve office policies and procedures.
- Compose and type regular correspondence.
- Manage the sales arborists calendar - routing them efficiently within an appropriate territory.
- Maintain files of all customers & vendors (hard and digital copies).
- Responsible for completion of city registrations & ensuring Independent Tree is compliant with municipal guidelines.
- Keep an accurate inventory of office supplies & order supplies as needed.

Qualifications and Skills
- Experience with QuickBooks, Microsoft Applications, including Word and Excel, proficiency with google suite, including Gmail, Google Sheets and Google Docs
- Basic math, bookkeeping and accounting skills.
- Effective computer skills to input & use account management software in a timely and efficient manner.
- Data entry experience with contracts, work orders and spreadsheets.
- Creating and maintaining Excel reports & databases, both from scratch and from exporting data from our other programs (POS/CRM program, QuickBooks, Paychex, etc.).
- Excellent customer service, interpersonal, and relationship- building skills
- Ability to organize and prioritize tasks.
- Ability to manage and move between multiple tasks.
- Dependable & punctual; able to meet deadlines and maintain good attendance.
- Enjoys collaborating in a team environment as well as working individually.
- Positive attitude, enthusiasm & drive with excellent verbal and written communication skills.
- Professional and cheerful approach and demeanor.
- An Associate or Bachelor’s degree
- Coachable and a willingness to accept constructive criticism to grow with the company.
- Knowledge of the Geauga, Cuyahoga, Lake & Portage County area
- Excellent customer service and communication skills that translate over the phone and in-person.
- Ability to anticipate and respond to both customer and business needs.
- Understanding of Arboriculture & Landscape services would be a plus.
Job Type: Full-time
Pay: $70,000.00 - $85,000.00 per year
