Introduction

The purpose of this Job Description is to outline the authority, accountability, and responsibilities of a Route Sales Assistant of Inderbitzin Distributors, Inc.

Basic Function

To aid the Regional Sales Manager in accomplishing Company’s mission by supporting the sales effort to customer accounts, managing the processes by which the Company executes schematics, following a route schedule and build–up books while executing relief or support duties. The Route Sales Assistant is responsible for sales, service and customer satisfaction when assigned to a Route. The Route Sales Assistant will provide on-going training and support to the Route Sales Representatives. To ensure that customer deliveries and expectations are met on time and at an acceptable profit to the Company.

Reporting Relationships

The Route Sales Assistant reports to the Regional Sales Manager. The Route Sales Assistant coordinates his activities with the Regional Sales Manager.

Authority and Accountability

The Route Sales Assistant is selected by the Regional Sales Manager with the concurrence of the Route Operations Manager of Inderbitzin Distributors, Inc. and is delegated sufficient authority to accomplish the responsibilities, duties, goals and objectives that have been established for the position. The Route Sales Assistant is accountable to the Regional Sales Manager of Inderbitzin Distributors, Inc. All decisions made by the Route Sales Assistant within the scope of authority for that position are considered final unless specifically reversed by the Regional Sales Manager.

Responsibilities and Duties

  • Conduct, teach and enforce the Company full-service program.
  • Follow route plan and make suggestions to improve the profitability of route.
  • Achieve sales objectives when operating/supporting route sales
  • Teach and support sales of new/push items into all accounts.
  • Review new/push items on routes to assure sales off truck.
  • Must enforce the use of route books and build-up books.
  • Write orders, prepare and deliver customer invoices
  • Count in all product with customer to verify order accuracy
  • Price and date required product
  • Rotate and front all product
  • Clean displays and replace damaged or old displays.
  • Issue credit return on out of codes, damaged or return to stock products.
  • Note cash payment before posting of invoice
  • Generate cash receipt if collecting from previous invoice
  • Run proper daily reports and submit paperwork in sequence order
  • Ride with the routes unless separate vehicle is mandated
  • Support the Regional Sales Manager in a variety of sales and sales support activities designed to increase sales and profitability to all designated routes.
  • Conduct store analysis reports to better understand our customer needs.
  • Conduct cold calls to build up route sales or territories.
  • Give feedback on restructuring of routes for better optimization.
  • Be friendly and courteous at all times
  • Maintain truck inventory
  • Conduct, teach and enforce Company inventory issues.
  • Conduct purchase orders in the back of the truck.
  • Observe proper practices of inventory reduction whether by invoicing or offloading procedures.
  • Conduct and report periodic inventory counts as required by the Route Operations Manager and/or Regional Sales Manager.
  • Operate assigned vehicle.
  • Conduct, teach and enforce Company vehicular procedures and policies.
  • Travel route safely and economically.
  • Maintain assigned vehicle by following company policies and bulletins.
  • Promote and practice safety.
  • Conduct, teach and enforce cab and truck cleanliness.
  • Reset In-Store Displays.
  • On an established schedule, visit all customers to reset in-store displays so they reflect current Inderbitzin display standards and support the customer’s sales plan.
  • Troubleshooting.
  • Support the sales department in managing problem accounts by understanding the customer’s perspective and working with the Regional Sales Manager to resolve the issues to all parties’ mutual satisfaction.
  • Perform other duties as assigned by the Regional Sales Manager.

Performance Criteria

The Route Sales Assistant’s performance is satisfactory when the following have occurred:

  • Sales to assigned accounts consistently meet pre-established targets.
  • Customers are satisfied with the Company’s sales and merchandising support as shown by periodic surveys.
  • Route support is conducted according to a pre-established schedule that is coordinated by the Route Operations Manager and/or Regional Sales Manager.
  • In-store displays conform to Inderbitzin display standards.
  • Help the Route Sales Representatives meet their sales goals and increase store profitability.
  • Road incidents (accidents, tickets, breakdowns) are reported to the Regional Sales Manager using the 5-minute rule policy unless medical assistance is required.
  • When covering a route load orders are submitted wirelessly by 3:00 pm.
  • Route Sales Assistant reports to work no later than 5:30 AM daily.
  • An atmosphere of cooperation, mutual respect and commitment is developed and maintained.
  • Required reports are accurate and submitted on time.
  • Other assigned duties are completed as specified by management.

Requirements of the Job

Physical Demands: The physical demands of the position are listed in accordance with the requirements of the American with Disabilities Act.

Safety-Sensitive Position
This is a Safety Sensitive Position. Applicants for positions defined as safety sensitive are required to undergo drug testing prior to employment and, subsequent to commencement of employment, will be subject to random, post-accident, reasonable suspicion, return-to-duty, and follow-up drug and alcohol testing protocols.
Environmental Factors: This position will require visits to client sites in all types of weather. The normal travel hazards will apply including driving in a variety of traffic and weather conditions.

Other Physical Requirements: Late evening, early morning or weekend work may be required.

Mental Requirements: Excellent reading, math, writing and verbal skills to communicate clearly and effectively in the English language to the customers and company personnel. The mechanical requirements of this position include the ability to operate the company’s vehicles safely as well as understanding the functions and procedures of the handheld computers and printers. Strong reasoning ability (“logic”) is required to resolve difficulties and determine the effectiveness of processes and procedures. Flexibility and assertiveness are required to be able to respond quickly and appropriately to various sales and service issues.

Educational Requirements

Required: High school diploma or certificate of equivalency.

Experience Requirements

At least one-year experience in sales, service and relationship management to small businesses and retail outlets. Valid driver’s license in the states of Washington and/or Oregon as appropriate.

Other Personality and Performance Characteristics Required

Must be able to respond effectively with changing situations and business environments. Must be willing to establish and maintain high standards of performance at a consistent level without sacrificing integrity.
