Job Overview
We are seeking a highly organized and proactive Office Administrator to conduct the daily operations of our office. The person in this position will be responsible for maintaining the financial records of the Club, with oversight by the Property Manager, and handling the day to day business and record keeping for Indian Hammock. The ideal candidate must be a self-starter, and will be responsible for ensuring efficient administrative processes, managing member and vendor relationships, and providing support to members and staff. This role requires excellent communication skills, a strong attention to detail, and the ability to multitask in a fast-paced environment.
Duties
- Perform daily office operations, ensuring smooth workflow and efficient processes.
- Comfortable working with many interruptions
- Process bank deposits through remote system
- Pay approved invoices, using QuickBooks desktop
- Reconcile bank accounts
- Make Journal Entries, recurring and one time
- Attend Monthly Finance Committee meetings
- Maintain effective phone etiquette while handling incoming calls and inquiries.
- Perform clerical tasks including filing, data entry, payroll, and maintaining organized records, and assisting with updating website information.
- Book reservations for member’s amenities
- Work with members, other employees, and contractors
- Must be people-oriented with good communication skills and a positive customer service attitude.
- Good organizational skills.
- Possess integrity, a sound work ethic, and a cooperative attitude to solve problems and achieve goals while working together with others
- Plan and organize meetings.
- Develop and manage budgets for office supplies and events.
- Implement office policies and procedures to improve efficiency and productivity.
- Willing to work overtime hours occasionally, when necessary
Qualifications
- Have a Have a minimum of 3 years' experience with QuickBooks Desktop and General Ledger with Classes
- Proficient in Microsoft Office Suite, Adobe Acrobat, and other relevant software applications.
- Be familiar with working with:
- Budgets
- Accounts payable
- Accounts receivable
- Bank reconciliations
- Proven experience in office management or a similar administrative role.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent phone etiquette and communication skills, both written and verbal.
- Experienced in budgeting and financial management.
- Ability to work independently as well as part of a team.
