What are the responsibilities and job description for the Administrative Support Assistant position at Indian Health Service?
This position is located within the Quality Management Division at the Gallup Indian Medical Center in Gallup, NM. The primary purpose of the position is to perform a wide variety of administrative tasks associated with maintaining and supporting the organization. Such work includes functions necessary for he efficient management of an office and ranges from correspondence and information control to ordering and tracking equipment, supplies, and services.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; social). You will receive credit for all qualifying experience, including volunteer and part time experience. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week.
MINIMUM QUALIFICATIONS:
GS-07: Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the next lower grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks: Performing technical administrative tasks in the areas of correspondence management, office automation, data collection, and tracking information; managing calendars and meeting schedules; serving as Point of Contact for an organizational unit answering questions on program operations; purchasing supplies, equipment and other materials utilizing prescribed purchasing guidelines and procedures.
Time In Grade
Federal employees in the competitive service are also subject to the Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Time-In-Grade provisions do not apply under the Excepted Service Examining Plan (ESEP).

Responsibilities:
- Receives, assesses, routes, or otherwise handles incoming and outgoing materials such as controlled or routine correspondence, reports, memoranda, and other forms of written communication.
- Performs office automation duties which include the preparation of ad hoc and reoccurring reports, forms, correspondence, and presentation materials which may include complex graphs, charts, and tabular material.
- The work may include purchasing supplies, equipment and other materials utilizing prescribed purchasing guidelines and procedures. Follows-up on and tracks expenditures and ensures prompt payment.
- Manages the appointment and meeting schedule for the Director of the organizational unit served, and those of other senior staff members as directed. Serves as point-of-contact for scheduling meetings for conference rooms. Schedules appointments, coordinates meetings, and/or schedules conferences.
- Answers questions concerning policies and procedures related to support/office services and new projects, requests, and shifts in priorities and commitments.
