Job Description
Title of Position: Fiscal Assistant
Immediate Supervisor: Finance Director
1. Scan all bills, purchase orders, and payment authorizations into computer and save in Accounts Payable folder under Departments.
2. Ensure all bills are properly recorded into the Quickbooks for payment and reviewed by Finance director..
3. Print checks
4. Match all checks with bills, prior to checks being signed.
5. Once checks have been signed, stuff and prepare for mailing.
6. Responsible for filing all documents in a timely manner; keeping all files in order.
7. Pull report from postage meter monthly on the first (1) of each month and complete the postage spreadsheet.
8. Enter Mileage into Vehicle Log spreadsheet monthly.
9. Review and enter all time sheets into Quickbooks and Excel spreadsheet
10. Remove checks from deposit box daily, prepare bank deposits
11. Pull all reports for monthly Emergency Solutions Grant and prepare invoice for review by Finance Director and Housing Payee Director.
12. Maintain Program Match and Gift card spreadsheets Maintain accurate and complete case files, records and reports
13. Maintain strict confidentiality in all aspects of position; donors, payroll, etc.
14. Update Facebook page and agency Website, as requested.
15. Other duties as assigned.
:
1. Degree in Accounting with understanding of Generally Accepted Accounting Principles (GAAP) required or1 to 3 years fiscal experience.
2. Experience in QuickBooks required.
3. Working knowledge of computers, including MS Word, Excel, Quickbooks, and other related programs.
4. Working knowledge of non-profit funding and social service systems a plus.
5. Working knowledge of accounting principles and procedures.
6. Ability to function independently as well as cooperatively with a variety of staff in receiving and providing fiscal information.
7. Strong communication skills, both verbal and written.
8. Good organization skills, and have the ability to meet deadlines in a timely manner.
9. Must have vehicle insurance to comply with agency standards of coverage.
10. Possession of valid PA driver’s license, reliable transportation, and willingness to travel in Indiana County and other counties if required.
11. Must have or be willing to obtain Motor Vehicle Report and Act 33 and 34 clearances.
12. The ability to work as a team player and maintain a positive attitude.
Job Type: Full-time
Pay: $14.40 per hour
Expected hours: 35 per week
