POSITION DESCRIPTION
The Finance and Office Assistant assists with financial reports, accounts payable/receivable, fundraising, grant program administration, document preparation and electronic filing, financial reports, taking board meetings minutes, and other database, financial, organizational, miscellaneous projects and administrative assistance.
LOCATION
The Finance and Office Assistant spends the majority of their time at the Indiana Dunes Visitor Center, located at 1215 N State Road 49, Porter, Indiana. This position may also help with events or attend training offsite.
POSITION RESPONSIBILITIES
- Assists with accounts payable/receivable and financial reporting.
- Assists in the management of the IDT fundraising and grant programs.
- Maintains filing systems.
- Attends, takes minutes, and prepares financial reports and documentation for board meetings.
- Performs administrative and database tasks such as data entry, editing, and generating reports.
- Ensure procedural manuals are updated.
- Assist in recruitment and scheduling of volunteers.
- Assist in the delivery of marketing materials to Porter County businesses.
- Assist in the monitoring and updating of online retail sales.
- Assist with facility maintenance.
- Operates copiers, scanners, phone and voicemail systems, personal computers, and other office equipment.
- Record hours worked in the payroll system.
- Coordinate and attend training, staff events, and meetings.
- Greet and assist visitors and potential customers as needed. Answer questions about the Porter County area and Indiana Dunes.
- Assist Indiana Dunes Tourism staff with contracts and other duties as requested.
POSITION REQUIREMENTS
- Applicants must be at least 18 years of age.
- Must have a high school diploma or equivalent required.
- Work experience in finance and/or office assistant or related field is preferred.
- Must have experience with a high competency level in Google email, docs, sheets, and Excel.
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to maintain database information and run electronic reports
- Ability to work independently.
- Excellent interpersonal and customer service skills.
- Willingness to learn the responsibilities of this position.
- A professional appearance with a friendly and courteous manner.
- Must have advanced math skills.
- Ability to lift 30 lbs on a regular basis.
- Ability and initiative to work independently and within a team environment.
- Must work respectfully with all IDT and National Park staff.
- Ability to listen to and understand questions, problems, and situations.
- Must navigate the internet, learn new software as needed.
- Ability and willingness to acquire the knowledge to handle the responsibilities meticulously.
- Basic knowledge of roads, attractions, and businesses within Porter County.
- While personal time is greatly respected, there may be uncommon situations that require rearranged work hours throughout the year. This may include weekends.
