Job Summary

Department-Specific Responsibilities

  • Manages and updates space allocation data and maintains Computer Aided Facility Management information for IUSM.
  • Ensures accurate facility data, supports strategic planning, and provides superior customer service through effective communication and collaboration.
  • Maintains IUSM Space database, creates reports on space allocation data, creates and validates reporting specifications for dashboards and analytical tools, and proactively monitors changes.
  • Reviews, tests and executes database queries to check data accuracy and integrity.
  • Adheres to and ensures compliance with established policies and procedures related to data management.
  • Maintains the Office SharePoint site and monitors Smartsheet Project Sheets for updates and training.
  • Conducts routine on site space assessments.
  • Processes Space Addition and Space Relinquishment forms to update CAFM Information.

General Responsibilities

  • Provides analysis of existing data and data structures and satisfies ad-hoc reporting / analysis requests.
  • Creates reporting specifications for new reports / dashboards / analytical tools and assists in testing / validation; ensures integrity, accessibility, and accuracy of reports / dashboards and data structures; reviews and approves user requests for access to reporting data and tools.
  • Consults with faculty and / or staff to identify new business reporting needs and provides guidance and interpretation of complex environments and data.
  • Documents data analysis efforts (data sources, reporting specifications, tools, issue / problem resolutions).
  • Researches and stays up-to-date on emerging technologies and data analysis tools.

    EDUCATION

    Required

  • Bachelor's degree (preferably in computer science, information science, or a related field)
  • EXPERIENCE

    Preferred

  • 2 years of experience in facilities planning, interior design, or business
  • SKILLS

  • Proficiency in AutoCAD or CAFM software and Microsoft Office (Word, Excel, Access, and PowerPoint)
  • Familiarity with advanced tools such as Tableau, Power BI, Microsoft Teams, Qualtrics
  • Understanding of construction principles and drawings

    This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.
