Job Summary
Department-Specific Responsibilities
- Assists with drafting acknowledgment letters, brochures, and other correspondence and proofreading.
- Provides administrative support to the Corporate and Foundation Giving Unit assisting with portfolio management of organizations identified as major gift donors and potential prospects (major gifts : $100,000 plus) including a high level of direct contact and interaction with School of Medicine faculty.
- Provides administrative support to the Development Services Unit assisting with special projects and stewardship.
- Serves as donor file manager and office coordinator in this fast paced, professional and highly confidential office environment.
- Develops, writes and organizes materials for brochures, special events / meeting packets, biographies and other projects.
- Serves as a project coordinator for special communication projects, including videos and photo shoots.
- Assists with updates to the Office of Gift Development and Alumni Relations website.
- Organizes and produces, in conjunction with other departments, large and mass mailing solicitations.
- Assists in the preparation and distribution of mass e-communications to donors and alumni.
- Composes, types, and proofreads correspondence, memos, reports, agendas, handouts for meetings, and other various documents.
- Makes corrections and recommend changes.
- Copies, files, and distributes as necessary.
- Creates and maintains various confidential files.
- Answers telephones, screen calls, take messages and provide information or assist caller according to established policies.
- Provides administrative support to major gift officer in securing gifts from a donor portfolio of 75 to 125 prospective and current corporate and foundation donors.
- Responsible for data entry of highly confidential prospect / donor / alumni information including requesting assignments, creating and updating plans and adding contacts by gift officers into the IU Foundation's donor database.
- Assists with preparing and proofreading proposals, reports, and correspondence.
- Performs basic research on donors and prospective donors through confidential donor files, I Foundation database, the Internet, and direct contacts including university administration, faculty, government officials, private and public agencies, corporate leaders, physicians, alumni and volunteers for information used to create, organize and maintain prospect profiles.
- Manages various ad hoc data projects for the Director of Development Services.
- Assists Stewardship Manager and Stewardship Coordinator with organizing and producing large stewardship / endowment mailings.
- Assists with preparation and work at special donor stewardship events and other IU School of Medicine events.
- Creates and maintains the donor filing system.
- Performs duties including reviewing documents for data integrity according to IU and IU Foundation policies, filing on a regular basis, creating new files, purging files, special filing projects, ordering supplies, etc.
- Secures daily all confidential donor files.
- Provides front office reception support and arrange for back-up reception duty among office support staff.
- Serves as the main point of contact for telephone, general mail, and information triage.
- Prints and posts daily conference room schedule.
- Manages inventory, ordering, and securing general office supplies and stationery.
- Manages office non-computer equipment maintenance.
- Serves as lead telecommunications contact with University Integrated Technology Services for phone changes, problems, etc.
- Provides day-to-day management of site issues (e.g. emergencies, fire drills, maintenance / housekeeping needs).
- Serves as office health and safety officer and provides oversight of health and safety compliance and requirements including disaster preparedness and drills.
- Assists with other special projects, and perform other related duties incidental to the work described herein.

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.
Work Location
Indianapolis, Indiana
This position is eligible to work a hybrid schedule (mix between remote and in-person work), subject to change in the future based on university policy and business needs.
Advertised Salary
40,000 - $44,824 annually dependent on candidate experience, skills, and qualifications.
