This position is a full-time District Coordinator position, located in Fort Payne, AL which provides a full range of moderate to complex clerical/secretarial work assignments in support of Industrial Kiln & Dryer Group’s Southeast District. The position reports directly to the District Manager but interacts with a wide range of individuals. Successful candidates will have excellent customer service skills and must be outcome oriented. The employee will be expected to make informed decisions, be initiative-taking, work independently, be detail oriented and highly efficient in clear-direct communication. This position will work closely with other District Coordinators as well as Home Office Operation Support. This position will require frequent evenings and weekends, as needed and/or tasks completion. You will be fully engaged and busy from the first day and we guarantee there will never be a dull moment.
Performance measures associated with this position will be defined and changed as required, but will include the listing below:
Areas of Focus: Planning, Logistics & Documentation
- Entry of job details into our operational systems, scheduling, job planning, making travel arrangements, reading/revising and accurately verifying job documentation.
- Assignments and projects often involve coordinating with the District Manager, Sales Team and other important operations support to gather routine information or solve problems.
- Maintain a Matrix tracking spreadsheet, weekly, of all jobs and opportunities in the Southeast District.
- Provide administrative support by performing clerical duties such as payroll, purchase order processing, entering data and extracting data from multiple systems.
Areas of Focus: Preparation of all field service jobs for invoicing
- Meeting monthly deadlines and the timely prep invoicing of all field service job
- Verifying supportive documentation for field service jobs by a costing sheet for the Sales team to be used as confirmation of final pricing of job
- Uploading all necessary documentation to our digital folder system.
